Role Overview:

 We are a staffing agency seeking a detail-oriented Executive Assistant (EA) with a pharmacy background to provide high-level administrative, operational, and bookkeeping support. Our client is a leading healthcare education and consulting firm, dedicated to advancing the quality of care through expert-led training, advisory services, and operational support for healthcare organizations.

Key Responsibilities:

  • Provide comprehensive executive assistance to senior leadership, including calendar management, meeting coordination, and travel arrangements
  • Manage bookkeeping tasks such as invoicing, expense tracking, accounts reconciliation, and basic financial reporting
  • Coordinate communication between internal teams, clients, and partners
  • Assist with preparation of presentations, reports, and educational materials
  • Maintain organized records and ensure confidentiality of sensitive information
  • Support special projects as needed in a fast-paced, mission-driven environment

Skills & Qualifications:

  • Previous experience as an executive assistant, administrative assistant, or in a similar support role
  • Background in pharmacy (degree, certification, or substantial experience preferred)
  • Familiarity with basic bookkeeping practices and accounting software (e.g., QuickBooks, Xero, or similar)
  • Strong organizational and time-management skills; ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Proficiency with office productivity tools (e.g., Microsoft Office, Google Workspace)
  • High attention to detail and commitment to accuracy
  • Discretion in handling confidential information

Preferred:

  • Prior experience in healthcare, education, or consulting settings
