What You’ll Be Owning
This is a core operations leadership role focused on team management, workflow optimization, and execution.
You’ll take the lead on:
Team Leadership & Support
- Manage 5–6 offshore admin staff
- Run regular 1:1s and provide ongoing coaching and direction
- Act as the go-to person for questions, escalations, and decision-making
Workflow & Pipeline Management
- Oversee a high-volume job pipeline (hundreds of active jobs)
- Ensure tasks move efficiently across stages without delays
- Identify and resolve bottlenecks before they impact operations
Systems & Process Execution
- Work systems like HubSpot and Simpro (or similar service-based platforms)
- Create, manage, and update jobs within systems — not just monitor them
- Ensure the team follows correct workflows and processes
Performance & KPI Tracking
- Monitor team productivity and output
- Use tools (e.g., Time Doctor or similar) to track performance
- Provide regular reporting and insights to leadership
Escalations & Problem Solving
- Handle complex or escalated issues when the team cannot resolve them
- Provide clear direction when team members are stuck or unsure of next steps
Requirements
This Role Is a Great Fit If You:
Are a Proven Team Leader
- At least 2+ years of experience managing teams (minimum 3+ direct reports)
- Experience leading offshore or remote teams is highly preferred
Have Relevant Industry or System Experience
- Background in solar, electrical, or service-based industries is highly preferred
- Strong hands-on experience with HubSpot and Simpro (or similar platforms like Tradify, ServiceM8, etc.)
- You know how to use systems — not just oversee them
Are a Hands-On Operator
- You don’t just delegate — you step in, solve problems, and guide execution
- Comfortable managing both people and processes simultaneously
Are Highly Organized & Process-Driven
- You can manage large volumes of work without losing track
- You proactively identify inefficiencies and fix them
Are Decisive and Supportive
- The team will rely on you for clarity — you can confidently guide them
- You balance leadership with approachability
Communicate with Confidence
- Clear, professional communication (written and verbal)
- Able to work directly with Australian stakeholders

After 30–60 Days:
- The team has clearer direction and fewer daily questions for senior leadership
- Workflows are more structured and tasks are moving consistently
After 60–90 Days:
- Bottlenecks in the pipeline are significantly reduced
- The team is more confident, productive, and aligned

- Leadership can rely on you to manage operations independently
- The offshore team runs smoothly with minimal escalations
