Working remotely on a permanent, full-time basis, you will support a U.S.-based attorney and entrepreneur by transforming high-level objectives into actionable plans.
The position requires an 8-hour workday, with the flexibility to align your schedule to include two hours of overlap with U.S. hours (typically anytime between 4:00 PM and 7:00 PM SAST). This is an invitation for a proactive coordinator to serve as the central pillar within a lean, high-output legal and business development environment, ensuring strategic projects maintain momentum without the need for constant oversight.
Key Responsibilities
Strategic Executive Support: Manage complex calendaring and inbox triage, surfacing priority items and drafting polished, professional correspondence to maintain seamless communication flows.
Project & Operations Coordination: Convert abstract goals into structured task lists and timelines; tracking active projects and ensuring all decisions are translated into execution through persistent follow-up.
Stakeholder & Outreach Management: Conduct professional outreach to clients, vendors, and referral sources via email, phone, and LinkedIn, maintaining accurate CRM records and relationship notes.
Information Architecture: Research companies, markets, and service providers to prepare decision-ready summaries; maintaining secure filing systems and trackers to ensure no opportunity is lost to inaction.
Logistics & Preparation: Organise comprehensive travel itineraries and prepare briefing packs or presentations to ensure the principal is fully equipped for all engagements.
Requirements
Experience: 5–8 years of experience as an Executive Assistant or Project Coordinator, specifically supporting a Founder, Executive, or Attorney.
Communication: Exceptional command of English (both written and verbal) with a polished, professional presence suitable for high-level stakeholder interaction.
Technical Proficiency: Advanced expertise in Google Workspace, project management tools, and CRM systems.
Operational Setup: A reliable remote-work environment with redundant power and high-speed internet solutions to ensure consistent connectivity.
Availability: Ability to maintain a consistent overlap with U.S. Pacific Time (PST) during the work week.
Preferred Qualifications
Experience within legal, professional services, or entrepreneurial sectors.
Familiarity with HubSpot, Airtable, Notion, Asana, or Clio.
Prior experience supporting U.S.-based clients or organisations.
