Job Role: Operations/Admin Assistant 

Compensation range: $2,000 AUD - $3,000AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote, so you'll be able to work from home.

Who The Client Is: Our client is a growing solar retailer operating across Sydney and Adelaide, delivering end-to-end solar solutions, from quoting and scheduling to on-site coordination and post-install support. With a lean and fast-moving team, they run a strong tech stack and value people who can work autonomously, stay organised under pressure, and keep things moving efficiently without micromanagement.

Role Overview: We are looking for a proactive Operations & Admin Assistant to support the business owner directly. You will act as the central coordination point for the business, managing scheduling, communications, data, and logistics across a high-volume environment. This is a new offshore hire, replacing a full-time local admin. The role is fast-paced and varied, perfect for someone resilient, detail-oriented, and ready to handle a dynamic operational environment.

Key Responsibilities: 

  • Schedule customer appointments and coordinate installation timelines with on-the-ground teams
  • Maintain accurate data across Pipedrive CRM and quoting software
  • Liaise with installers and internal staff via Slack, Close, and WhatsApp to ensure smooth operations
  • Manage stock coordination, ensuring materials are on-site prior to scheduled installs
  • Keep Google Calendar and project tracking tools up to date
  • Support the business owner with day-to-day operational tasks and communications
  • Notify relevant parties of any changes, updates, or scheduling movements
  • Assist with general admin and process management using Notion and Google Sheets

Required Skills and Qualifications:

  • Proven experience in operations, admin, or EA roles, ideally in fast-paced or trade/service businesses
  • Strong proficiency with Pipedrive, Slack, Close, Calendly, Zapier, Notion, Google Sheets, Google Calendar, and WhatsApp
  • Excellent English communication skills, written and verbal; confident in client-facing interactions
  • Highly organized with strong attention to detail, especially around data accuracy
  • Ability to work autonomously and manage multiple priorities simultaneously
  • Resilient under pressure, capable of adapting quickly in a dynamic environment
  • Availability during AEST business hours (approx. 8 AM – 4 PM), with occasional early starts

Nice to Have

  • Prior experience in solar, renewable energy, or related service businesses
  • Familiarity with scheduling high-volume operational tasks
  • Experience with workflow automation tools
