This is a remote position.

Virtual Rockstar is hiring a full-time Medical Virtual Assistant on behalf of our client, a growing pediatric therapy organization serving families across California and Utah. This role supports front-office and administrative operations by managing patient scheduling, documentation, insurance follow-up, and communication—ensuring a smooth, supportive experience for children, families, and clinicians.

This position is ideal for someone who is organized, dependable, patient-focused, and comfortable supporting healthcare operations in a pediatric therapy setting.

Responsibilities

Patient Scheduling & Follow-Up

  • Manage patient scheduling and calendar coordination across therapy providers.

  • Confirm appointments and handle reschedules and cancellations.

  • Help maintain full clinician schedules and optimize appointment availability.

  • Send appointment reminders and follow up on missed or canceled visits as needed.

Insurance Verification & Administrative Support

  • Assist with insurance eligibility verification prior to patient visits.

  • Support insurance-related follow-up and documentation as assigned.

  • Ensure patient insurance information is accurate and up to date.

Communication & Family Support

  • Respond professionally and compassionately to family and caregiver inquiries via phone and email.

  • Route messages to the appropriate internal team members when needed.

  • Provide clear guidance to families regarding scheduling, intake paperwork, and next steps.

Documentation & Record Management

  • Maintain organized and accurate patient records.

  • Assist with intake forms, onboarding documentation, and administrative paperwork.

  • Ensure documentation is properly filed and accessible to the clinical team.

Office Operations & General Admin Support

  • Support daily administrative workflows for the therapy team.

  • Assist with coordination between clinicians, families, and internal staff.

  • Complete additional administrative tasks as needed to support clinic operations.

Tools & Systems

  • Comfortable working with scheduling systems, electronic records, and digital communication tools.

  • Experience using email, calendars, spreadsheets, and shared file systems.

  • Willingness and ability to learn new software and internal systems quickly.



Requirements

  • Prior experience in a medical administrative, pediatric therapy, or medical virtual assistant role preferred.

  • Experience supporting scheduling, follow-up workflows, and healthcare communication standards.

  • Strong organizational skills with excellent attention to detail.

  • Clear and professional written and verbal communication skills.

  • Ability to work independently while supporting a clinical operations team.

  • Dependable, proactive, and consistent with follow-through.
