Virtual Rockstar is hiring a Medical Virtual Assistant on behalf of an integrative wellness practice to support patient coordination, scheduling, and ongoing care management. This role is ideal for someone who is highly organized, compassionate, and experienced in managing patient relationships and treatment follow-ups in a healthcare setting.
This position plays a key role in ensuring patients stay engaged in their care plans, appointments are well-coordinated, and communication remains consistent throughout their wellness journey.

Key Responsibilities
Patient Coordination & Communication
• Serve as the primary point of contact for patients throughout their care journey
• Conduct regular check-ins to monitor patient progress and address concerns
• Provide timely responses to patient inquiries via email or messaging
• Send personalized communications and follow-ups
Scheduling & Care Coordination
• Schedule appointments for provider visits, IV therapies, and coaching sessions
• Manage appointment calendars, confirmations, and rescheduling
• Coordinate telehealth appointments and ensure smooth scheduling flow
• Maintain and manage patient waitlists
Patient Monitoring & Follow-Ups
• Track patient progress and adherence to treatment plans
• Follow up on missed appointments or gaps in care
• Send end-of-program communications and reminders
• Ensure patients stay on track with their wellness plans
Documentation & Records Management
• Maintain accurate and detailed patient records in the EMR
• Document all patient interactions, updates, and care plans
• Ensure all information is organized and easily accessible
• Uphold patient confidentiality and HIPAA compliance
Administrative Support
• Manage emails, patient communications, and basic reports
• Coordinate with providers and internal team members on schedules and updates
• Assist in improving workflows and supporting operational efficiency
Systems & Tools
• Cerbo (EMR)
• Google Workspace (Gmail, Google Docs)
• Go High Level (CRM)
Requirements
• Proven experience as a Medical Virtual Assistant or similar healthcare support role
• Strong background in patient coordination, scheduling, and follow-ups
• Experience working with EMR systems (Cerbo or similar preferred)
• Excellent written and verbal English communication skills
• Strong organizational and time management skills
• High attention to detail and documentation accuracy
• Ability to manage multiple patients and tasks simultaneously
• Compassionate, patient-centered approach to communication
• Ability to work independently and take initiative
