Requirements:

  • Provide support to AP agents with daily/weekly processing of accounts payable and ensure invoices are accurate and properly approved
  • Assist the AP Manager with the review and processing of Paymerang payment batches and oversee payment transactions (ACH, wires, checks)
  • Oversee setup of new vendors in the AP system, ensure receipt of required tax documents and correct 1099 setup; assist with year-end 1099 compliance
  • Reconcile vendor statements, resolve payment and vendor issues, and assist with month-end closing and expense accruals while ensuring policies and procedures are followed

What you will have an opportunity to do:

SUMMARY

The AP Supervisor assists the AP Manager with overseeing the CAO A/P Department. Ensuring company policies are adhered to, payments to vendors are made timely and are accurate, and the general ledger is well-maintained from an AP standpoint. Must have strong attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Included, but not limited to, are the following: other duties may be assigned.

1. Provide support to the AP agents with the daily/weekly processing of AP.

2. Assist the AP Manager with the review and processing of the Paymerang payment batches.

3. Oversee the setup of new vendors in the a/p system, ensuring the necessary tax documents have been received by the vendor and the 1099 is set up accordingly.

4. Assist in the yearly processing of the 1099 tax information ensuring compliance with the Federal guidelines.

5. For properties directly assigned to the AP supervisor the following is required:

a. Review A/P invoices entered by the hotels for accuracy. Confirm invoices have been coded correctly and have all necessary approvals. Post approved invoices for payment. Contact Hotel on unapproved invoices for resolution

b. Adhere to hotels state use tax guidelines by adding use tax to vendor invoices if applicable.

c. Assist the Hotels assigned centralized accountant with the weekly processing of vendor payments. Alert the centralized accountants of vendors with special terms or discounts.

d. Oversee all payment transactions such as ACH, wires, paper checks and hotel on-site manual checks.

e. Reconcile vendor statements to ensure all invoices are accounted for. Research, analyze, and resolve payment and vendor issues.

f. Ensure that systems, policies, and procedures adhere to company policies while functioning with accuracy and timeliness.

g. Ensure that the accounts payable and the company’s financial obligations are met efficiently.

h. Reconcile a variety of accounts and reports to ensure accuracy.

i. Assist with month-end closing tasks, including monthly expense accruals.

6. Be active on the customer service front and be quick and accurate with communication.

7. Prepare documents for audits.

EDUCATION and/or EXPERIENCE

Bachelor’s degree in accounting and/or accounts payable experience.

LANGUAGE SKILLS

Professional written and verbal communication and interpersonal skills are required.

REASONING / ORGANIZATION

Possesses strong organizational skills, must be multi-task and detailed oriented, and have a track record of meeting deadlines and delivering on goals. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
