  • Coordinate prebilling and payroll activities: verify timesheets, resolve discrepancies, and ensure payroll requirements are met

Job description

The DOE Paraprofessional Coordinator is responsible for overseeing a caseload of students and their assigned paraprofessionals (paras). This position involves ensuring proper staffing, communication, and management of paraprofessionals while maintaining high standards of customer service and professionalism. The coordinator will act as a liaison between parents, schools, and various offices to ensure that the students receive the necessary services and that paraprofessionals are adequately supported in their roles.

MUST have HHA exchange experience

Key Responsibilities:

  1. Daily Attendance Monitoring:
    • Review and confirm daily attendance of paraprofessionals.
    • Follow up on any lateness or absences and ensure appropriate coverage.
  2. Communication & Customer Service:
    • Answer phone calls professionally and provide effective solutions to inquiries or issues.
    • Communicate regularly with parents, schools, and the Committee on Special Education (CSE) office to address any changes or updates in student services.
    • Enforce agency policies and procedures consistently with paraprofessionals to maintain performance and accountability standards.
  1. Documentation:
    • Document all follow-ups and relevant information in patient and caregiver files in the HHAExchange system.
  2. Maintain accurate and up-to-date records of communication, service changes, or issues in the system.
  3. Update and maintain related Smartsheets with information on staffing, new cases, or extension letters.
  4. Additional responsibilities may be added as needed during Summer and School breaks
  1. Prebilling
    • Review and verify prebilling to ensure that paraprofessionals are compensated accurately.
    • Follow up on any missing or incorrect timesheets to resolve payroll discrepancies.
    • Ensure that paraprofessionals are aware of all payroll requirements and are completing those requirements on time
  2. Incident Management:
    • Handle any incidents that arise, such as issues with paraprofessionals or students, and complete the necessary incident reports.
  3. Staffing and Shift Management:
    • Manage and fill open shifts due to call-outs, vacations, or other unforeseen absences.
    • Coordinate temporary replacements to ensure continuous service for students.
    • Ensure all paraprofessionals have Eligible and Active PETS fingerprint clearance before assigning to case
  4. Agency Policy Enforcement:
    • Ensure that all paraprofessionals are adhering to agency policies, including attendance, performance, and behavior expectations.
    • Address and resolve any compliance or conduct issues.
    • Schedule paraprofessionals for counseling due to continued issues
