We are seeking a highly organized and proactive Credentialing Specialist to support caregiver onboarding, scheduling coordination, compliance tracking, and facility relationship management. This role is critical in ensuring a smooth onboarding experience for new hires while maintaining strong relationships with active caregivers and facility partners.
The ideal candidate is detail-oriented, relationship-driven, and comfortable managing multiple priorities in a fast-paced healthcare staffing environment.
Welcome and congratulate newly approved caregivers.
Review caregiver files and clearly communicate all credentialing requirements.
Follow up daily (or per agreed timeline) until all required documents are submitted.
Ensure all documents are complete, legible, current, and uploaded correctly in the system.
Coordinate orientation, scheduling, and communicate details via phone and email.
Submit clearance requests in a timely manner to avoid onboarding delays.
Maintain strong communication with facility compliance representatives.
Ensure smooth payroll setup, including:
Entering orientation shifts and schedules
Confirming that contracts and rates are properly documented
Verifying tax forms, direct deposit, and required payroll documents
Ensuring timesheets are submitted for first payment
Conduct weekly retention and courtesy follow-ups.
Reinforce adherence to schedules and contractual commitments.
Monitor active assignments to identify changes in service hours.
Address performance or attendance concerns promptly.
Provide ongoing support to ensure caregiver satisfaction throughout assignments.
Contact active caregivers weekly to collect schedules.
Confirm schedules with facility contacts.
Ensure 100% schedule entry and accuracy.
Proactively check for additional shift opportunities at assigned facilities.
Maintain reminder lists for caregivers who have not submitted schedules.
Build and maintain strong relationships with facility contacts.
Provide onboarding status updates for new hires.
Conduct monthly courtesy calls.
Follow up after orientations to gather satisfaction feedback.
Participate in meetings and calls as required.
Review daily reports for cancellations or issues and follow up accordingly.
Counsel caregivers regarding cancellations and attendance concerns.
Send official counseling documentation when required.
Assist in finding replacement staff when needed.
Follow termination policies and procedures when applicable.
Monitor expiring documents and send timely reminders.
Address compliance issues during scheduling conversations.
Issue verbal and written notices for noncompliance.
Notify facilities if a caregiver is not cleared to work.
Previous experience in healthcare staffing, scheduling, onboarding, or workforce coordination preferred
Strong communication skills (phone and email)
Excellent organizational and time-management skills
