Job Role: Virtual Assistant

Compensation range: $800 AUD - $1,000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: The client is an Australia-based coaching business focused on helping endurance athletes improve performance through structured training, personalised coaching, and digital programs.

They work with a global community of athletes and are currently in a growth phase, expanding their client base, content output, and internal systems. The team operates in a fast-paced, process-driven environment where strong organisation and proactive support are highly valued.

Role Overview: We’re looking for a highly organised and reliable Virtual Assistant to support the day-to-day operations of a growing endurance coaching business.

This role sits at the intersection of athlete administration, operations support, and light content coordination. You’ll play a key role in ensuring smooth onboarding, accurate client records, timely follow-ups, and consistent execution of internal processes.

Key Responsibilities: 

Athlete Administration & Onboarding

  • Manage incoming athlete applications and follow-up processes.
  • Draft and send athlete communications using templates and AI tools.
  • Schedule pre-coaching calls and maintain calendar accuracy.
  • Send welcome emails, agreements, and onboarding materials.
  • Track agreement completion and payment setup.
  • Prepare athlete profiles and onboarding details for coaches.
  • Update and maintain client lists, applications, and onboarding trackers.
  • Monitor and update TrainingPeaks settings and athlete checklists.

Operations & Admin Support

  • Maintain daily and weekly recurring admin tasks.
  • Support coach onboarding workflows.
  • Ensure all systems, templates, and records are accurate and up to date.
  • Handle ad hoc admin and research tasks as needed.
  • Identify inefficiencies and help improve internal processes.

Content & Digital Operations (Light)

  • Support podcast workflows (reviews, captions, thumbnails, uploads, publishing checks).
  • Update automations and publishing details across platforms.
  • Assist with membership setup and bonus access for athletes.

Required Skills and Qualifications:

  • Has a background in editing marketing materials.
  • Highly organized with strong attention to detail.
  • Excellent written English communication skills.
  • Process-driven, dependable, and efficient.
  • Confident using spreadsheets, calendars, templates, and admin systems.
  • Proactive communicator who flags issues early.
  • Comfortable learning new tools and systems quickly.
  • Practical experience using AI tools for drafting, summarising, and task support.
  • Able to balance structured recurring work with ad hoc requests.
  • Capable of following SOPs precisely while applying independent thinking.

This is a remote role that will be set up as an independent contractor engagement.
