We are seeking a highly analytical and detail-oriented SaaS Renewal & License Management Specialist to oversee software renewals, vendor negotiations, license optimization, and compliance reporting across the organization.
This role requires strong contract negotiation skills, deep experience in software asset management (SAM), data-driven decision-making, and the ability to generate executive-level reports for audits and financial planning. The ideal candidate has worked in a fast-paced IT environment and has hands-on experience with ERP systems such as NetSuite.
SaaS Renewals & Vendor Management
· Manage the full lifecycle of SaaS renewals, including tracking, forecasting, and execution.
· Negotiate contract terms, pricing, renewals, and true-ups with software vendors.
· Identify cost-saving opportunities through consolidation, right-sizing, and competitive benchmarking.
· Build strong vendor relationships while protecting company interests.
· Review and redline contracts in partnership with Legal and Procurement teams.
License Management & Compliance
· Maintain accurate inventory of software licenses across cloud and on-prem environments.
· Ensure compliance with licensing agreements and prepare for vendor audits.
· Conduct internal license reconciliations and usage analysis.
· Develop processes to reduce audit risk and financial exposure.
· Monitor usage trends to optimize renewals and prevent over-provisioning.
Data Analysis & Reporting
· Generate detailed reports on software usage, renewal forecasts, and cost optimization.
· Provide quarterly and annual SaaS spend analysis.
· Build dashboards and executive-ready summaries for leadership.
· Analyze vendor performance, contract utilization, and ROI.
· Support budgeting and financial planning cycles with accurate renewal forecasts.
Financial & ERP Management (NetSuite)
· Utilize NetSuite to track software expenses, POs, vendor records, and renewal schedules.
· Reconcile SaaS spend against budgets.
· Maintain accurate financial documentation for procurement and audits.
· Collaborate with Finance on accruals and forecasting.
Cross-Functional Collaboration
· Partner with IT, Security, Finance, Legal, and department leaders to align license usage with business needs.
· Support onboarding/offboarding processes to ensure proper license allocation.
· Assist IT leadership with strategic SaaS rationalization initiatives.
· Provide insights to inform technology investment decisions.
· 5+ years of experience in SaaS renewals, software asset management, or IT procurement.
· Proven experience negotiating software contracts and renewals.
· Strong understanding of SaaS licensing models (per-user, consumption-based, enterprise agreements).
· Experience managing vendor audits and compliance processes.
· Advanced reporting and analytical skills (Excel, BI tools, or similar).
· Experience working in an IT-driven environment.
· Hands-on experience with NetSuite or similar ERP system.
· Strong financial acumen and cost optimization experience.
· Experience with Software Asset Management (SAM) tools.
· Knowledge of IT governance, compliance, or security frameworks.
· Experience managing multi-million-dollar SaaS portfolios.
· Familiarity with contract language and legal risk mitigation.
