Position: Admin/ Executive Assistant

Number of hours: 40 hours/week

Schedule:

Key Responsibilities

  • Transfer and organize approximately 20,000+ emails from Microsoft Outlook to SuiteFiles.

  • Ensure emails are properly categorized, labeled, and archived according to the company’s filing structure.

  • Maintain accuracy and consistency when uploading and organizing records.

  • Review email content and attachments to ensure complete and correct transfer.

  • Assist in maintaining an organized digital records management system.

  • Communicate progress and report any issues or discrepancies during the migration process.

  • Follow company guidelines for data security and confidentiality.

Qualifications

  • Proven experience in administrative support, data entry, or document management.

  • Strong proficiency in Microsoft Outlook.

  • Experience with SuiteFiles is a plus.

  • Excellent English communication skills (written and verbal).

  • High attention to detail and organization.

  • Ability to handle large volumes of data/emails efficiently.

  • Strong time management and ability to work independently.

Preferred Skills

  • Experience with email migration or document management systems.

  • Familiarity with cloud-based document storage platforms.

  • Experience handling digital records organization and archiving.
