Virtual Rockstar is hiring a full-time Medical Virtual Assistant on behalf of our client, a well-established physical therapy practice located in Virginia. This role will primarily support the administrative and revenue-cycle workflows that ensure patients are properly onboarded, insurance coverage is verified, and authorizations and billing processes move forward without delays.
The ideal candidate is highly organized, detail-oriented, and experienced in insurance verification, prior authorizations, and healthcare administrative workflows. This position plays an important role in maintaining efficient patient intake processes and supporting the clinicβs billing operations.

Responsibilities
Manage incoming new patient intake emails and assist patients with onboarding documentation
Enter and organize new patient intake data within internal systems
Maintain accurate and organized patient records in the EMR
Assist with patient intake documentation and administrative processing
Support appointment confirmation workflows and ensure patients are prepared for upcoming visits
Perform insurance eligibility verification prior to patient visits
Obtain and track prior authorizations for therapy services
Update patient files with accurate insurance information
Communicate with insurance providers to clarify coverage details
Monitor authorization timelines to prevent delays in patient care
Assist with billing-related administrative tasks
Support submission and organization of insurance claims when needed
Help monitor billing workflows and documentation accuracy
Assist with resolving minor billing discrepancies and administrative follow-ups
Assist with progress report preparation and documentation support
Ensure required documentation is available for insurance and billing processes
Coordinate administrative workflows that support therapists and billing staff
Communicate regularly with the internal team using established systems such as Microsoft Teams
Participate in scheduled check-ins and remote meetings as needed
Work collaboratively with supervisors during onboarding and training to integrate smoothly into clinic workflows

Candidates should be comfortable learning and working within healthcare software platforms.
Previous experience as a Medical Virtual Assistant, Medical Administrative Assistant, or Billing/Insurance Support Specialist
Experience with insurance verification and prior authorization processes
Familiarity with medical billing workflows and documentation requirements
Strong computer and software proficiency
Excellent attention to detail and organizational skills
Strong written and verbal English communication skills
Ability to work collaboratively within a remote healthcare team
