  • Coordinate investment and deal activity including pipeline tracking, due diligence materials, and preparation of briefing documents for meetings
  • Drive strategic projects and initiative execution by tracking timelines, coordinating tasks, and conducting market research to move initiatives from concept to launch

Job description

We’re looking for a highly capable Executive Assistant who can operate as a true operational partner to a senior investor and entrepreneur managing multiple initiatives across investments, ventures, and global relationships.

This role goes far beyond traditional executive support. You will function as a force multiplier who helps turn ideas, conversations, and relationships into structured systems and execution.

You will manage scheduling, track strategic relationships, maintain CRM intelligence, and coordinate projects across investment initiatives and venture concepts. The goal is simple. Allow the principal to move faster while ensuring nothing important falls through the cracks.

This role is ideal for someone who is structured, curious, and comfortable operating across multiple parallel workstreams. You should be able to move from calendar management to research to project coordination without losing clarity or momentum.

What You’ll Work On

Executive Scheduling and Calendar Architecture

  • Own calendar management and scheduling across multiple time zones
  • Prioritize meetings and ensure time is allocated to the highest value activities
  • Prepare structured daily and weekly briefs including meeting context and objectives
  • Coordinate travel logistics for domestic and international trips

Relationship Intelligence and CRM Management

  • Maintain and organize a relationship CRM across investors, founders, advisors, and operators
  • Capture notes, context, and strategic insights from meetings and conferences
  • Track introductions, follow ups, and relationship history
  • Build structured relationship mapping across industries and geographies

Investment and Deal Coordination

  • Track investment pipeline activity including fund allocations, direct investments, and co-invest opportunities
  • Maintain dashboards tracking deal flow and diligence progress
  • Assist with organization of diligence materials and internal coordination
  • Prepare briefing documents before key investor and partner meetings

Strategic Projects and Initiative Execution

  • Track timelines and progress across new venture initiatives and investment platforms
  • Coordinate execution tasks required to move initiatives from concept to launch
  • Conduct research on markets, companies, and strategic themes as needed
  • Ensure projects continue moving forward between major work sprints

Events and Network Coordination

  • Organize curated investor dinners and private events across major cities
  • Coordinate logistics including venues, invitations, guest lists, and scheduling
  • Support conference participation and speaking engagements
  • Track relationship value and follow up after events

Select Personal Logistics

  • Coordinate occasional personal logistics and scheduling needs
  • Assist with travel planning and select family coordination when required

What You Bring

  • 4 to 8+ years of experience supporting founders, executives, investors, or senior leadership
  • Experience operating in high-trust environments with significant discretion
  • Strong organizational and systems thinking skills
  • Experience managing calendars, CRM systems, and project workflows
  • Ability to synthesize information and prepare structured briefing materials
  • Excellent written and verbal communication skills
  • High curiosity and ability to quickly understand new industries and topics
  • Ability to operate independently with minimal supervision

Nice to Have

  • Experience supporting investors, family offices, or venture environments
  • Background in consulting, finance, strategy, or operations
  • Familiarity with CRM platforms and relationship management systems
  • Experience coordinating events, conferences, or investor gatherings
  • Exposure to venture building or startup environments
