Inventory Coordinator with Procurement Experience

Roles & Responsibilities

  • 2-3 years’ experience in inventory planning, procurement, or supply chain coordination.
  • Strong understanding of forecasting methodologies, demand planning, and advanced Excel skills (Pivot Tables, Lookups, data analysis).
  • Experience with ERP systems (CIN7, Dear Inventory, or similar) and Xero for supplier bill entry.
  • Experience with international suppliers and freight forwarders, incoterms (advantageous), and multi-SKU product environments (retail/beauty preferred).

Requirements:

  • Inventory management: monitor stock levels, backorders, conduct stocktakes, manage SKU creation and stock movements, and generate variance reports.
  • Purchasing: monitor reorder levels, place purchase orders, negotiate supplier terms, coordinate freight/logistics, and support cash flow forecasts and vendor payment reports.
  • Logistics and warehousing: manage inbound shipments, liaise with freight forwarders, ensure accurate receiving, picking, packing, and support warranty claims and exports; maintain a clean, safe warehouse.
  • Administrative support: update inventory systems, assist with supply chain reporting, and foster a positive, customer-first team culture.

Job Responsibilities:

Inventory Management

  • Monitor stock levels and backorders
  • Generate inventory reports and review stock discrepancies
  • Manage SKU creation, product movements, and stock accuracy
  • Conduct stocktakes and prepare variance reports

  • Monitor reorder levels and place purchase orders
  • Negotiate terms with suppliers and coordinate freight logistics
  • Alert relevant departments for marketing materials and stock changes
  • Assist with cash flow forecasts and vendor payment reports

🚚 Logistics & Warehousing

  • Follow up on incoming shipments and liaise with freight forwarders
  • Ensure accurate receiving, picking, and packing of orders
  • Support warranty claims, replacements, and exports
  • Maintain a clean, safe, and compliant warehouse space

🧾 Administrative Support

  • Assist with internal admin and reporting for the Supply Chain team
  • Update inventory systems and support stock-related queries
  • Contribute to a positive team culture and customer-first mindset

Requirements

  • 2–3 years’ experience in inventory planning, procurement, or supply chain coordination.
  • Strong understanding of forecasting methodologies and demand planning.
  • Experience working with ERP systems (CIN7, Dear Inventory, or similar).
  • Experience working with international suppliers and freight forwarders.
  • Exposure to sea/air freight coordination and Incoterms (advantageous).
  • Experience supporting Accounts Payable functions.
  • Experience in multi-SKU product-based businesses (retail, FMCG, beauty, wholesale preferred).
  • Advanced Microsoft Excel skills (Pivot Tables, Lookups, Data Analysis).
  • Experience using Xero for supplier bill entry.
  • Strong negotiation and supplier management capability.
  • High attention to detail and numerical accuracy.
  • Commercially aware (understands margins, freight costs, working capital impact).
  • Comfortable working independently without daily supervision.
  • Strong written English for supplier communication.
  • Valid NBI clearance (mandatory).
  • Ability to provide two professional references.
