Job description

Position Overview:
We are seeking a highly organized and detail-oriented Virtual Assistant to provide administrative and organizational support. The ideal candidate will excel at following instructions, managing a variety of 1-off and recurring tasks, and maintaining clear and consistent communication. You will be instrumental in helping streamline operations and support the ongoing needs of our growing team.

Key Responsibilities:
Administrative Support:
○ Execute a wide range of one-off administrative tasks as assigned
○ Calendar management, scheduling, and meeting coordination
○ Document formatting, data entry, and basic research
Organizational Systems:
○ Create, maintain, and improve organizational systems in Notion and Google Drive
○ Manage shared team documents and dashboards to ensure accurate and up-to-date information
○ Track and follow up on outstanding tasks across departments
Project Support:
○ Collaborate with team members on task tracking and status updates
○ Ensure follow-through on delegated items and action items
○ Prepare summaries or briefings as needed before meetings

Qualifications:
  • Proven ability to follow instructions precisely and consistently
  • Strong organizational and time-management skills
  • Previous experience in an administrative or virtual assistant role preferred
  • Comfort with digital tools and cloud-based platforms
  • Excellent written and verbal communication skills
  • Self-motivated and proactive with a keen eye for detail

  • Tools You’ll Use:
  • Notion – for task tracking, documentation, and internal systems
  • Hubspot – for CRM and communication tracking
  • Google Suite – for email, calendar, drive, and document creation

  • Working Structure:
  • This is a remote position with flexible working hours
  • Expectation of a weekly 1:1 meeting with the direct manager for alignment and updates
  • Must be available to communicate and respond to requests in a timely manner during core business hours
