Job description

We are looking for a detail-oriented and proactive TA Pre-Onboarding Specialist to join an international Talent Acquisition team and support a smooth, compliant, and positive pre-employment experience for new hires across Poland (Warsaw & Krakow).

This role focuses on managing the administrative and coordination aspects of the hiring process, from offer acceptance through Day 1, ensuring accuracy, legal compliance, and an excellent candidate experience.

What Youll Be Doing

  • Coordinate and manage all administrative tasks related to the pre-onboarding process

  • Prepare and issue employment contracts and offer letters in line with Polish labor law and internal policies

  • Collect, verify, and maintain required documentation (e.g. ID, tax data, social security numbers, diplomas)

  • Maintain accurate records in Talent Acquisition systems and ATS platforms

  • Coordinate with internal teams such as Payroll, IT, and Facilities to ensure Day 1 readiness

  • Act as the main point of contact for new hires regarding pre-employment questions and timelines

  • Ensure compliance with local employment regulations and internal procedures

  • Contribute to continuous improvement initiatives within the pre-onboarding process

What You Bring

  • Previous experience in HR administration, recruitment coordination, or a similar role

  • Good understanding of Polish labor and employment regulations

  • Strong organizational skills and excellent attention to detail

  • High level of confidentiality and professionalism

  • Excellent communication skills in Polish and English (written and verbal)

  • Proficiency in MS Office and experience with ATS / TA systems

  • Bachelors degree in Human Resources, Business Administration, or a related field (preferred)
