Overview

Outsource Ability, on behalf of our client, is seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive support to the team. The ideal candidate will be highly organised, adaptable, and capable of managing multiple tasks in a fast-paced environment. This role is essential in ensuring smooth day-to-day operations and effective communication across the organization.

Key Responsibilities

  • Administrative Support: Manage calendars, schedule meetings, and coordinate appointments.
  • Communication: Draft, proofread, and distribute correspondence, reports, and presentations.
  • Data Management: Maintain records, databases, and filing systems (digital and physical).
  • Office Coordination: Assist with travel arrangements, expense reports, and procurement of supplies.
  • Team Assistance: Support staff with administrative tasks and act as a point of contact for internal and external stakeholders.
  • Documentation: Prepare meeting agendas, take minutes, and ensure follow-up actions are tracked.

  • At least 1 year of proven experience as an administrative assistant or in a similar role.
  • Fluency in English, both written and verbal.
  • Excellent organisational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Attention to detail and problem-solving skills.

Equipment & Connectivity Requirements

To perform effectively in this role, candidates must have:

  • Their own laptop, and headset (capable of running productivity software efficiently).
  • Reliable power supply (Solar, UPS, or Inverter) to ensure uninterrupted work.
  • Stable internet connection (minimum speed sufficient for video conferencing and cloud-based applications).
