Employee Job Title: Human Resources Coordinator

Location: Remote (Must be based in California)

Hours: Fulltime, Monday to Friday, 8:00 am – 4:30 pm PST

Reports to: Human Resources Manager

Job Description: The Human Resources Coordinator plays a vital role in supporting both recruitment and daytoday people operations. In this position, you’ll take ownership of candidate coordination and recruiting workflows while managing onboarding logistics to ensure a smooth, professional, and compliant employee experience. With a strong focus on sourcing top talent, maintaining data accuracy, and ensuring process consistency, you’ll manage employee records within our HRIS, Paycom, and collaborate closely with the HR Manager, department leaders, and HR Specialist to deliver a cohesive and engaging experience across every stage of the employee lifecycle.

Responsibilities:

  • Recruiting & Talent Sourcing
    • Coordinate and manage endtoend recruiting processes: sourcing, posting, screening, interview scheduling, candidate communications, and pipeline management
    • Actively build and maintain a robust pipeline of talent using sourcing, networking, and direct outreach strategies
    • Draft and maintain compelling job ads, job opportunity documents, and candidatefacing materials
    • Post and manage roles in Paycom ATS, ensuring all workflows and status updates are consistently maintained
    • Collaborate with hiring managers to align on role expectations, timelines, and interview feedback and documentation
    • Build and maintain proactive talent pipelines, with an emphasis on Californiabased talent
    • Draft offer letters and initiate background checks, reference verifications, and preemployment screenings
    • Track and report on recruiting metrics such as timetofill, pipeline status, and hiring activity
      • Onboarding & Offboarding
        • Own onboarding and offboarding logistics, including managing systems access, technical account setup and deactivation, equipment coordination, and checklist tracking to ensure a seamless, compliant, and professional employee experience.
        • Coordinate and manage onboarding and offboarding checklists, ensuring all HR, IT, and departmentspecific steps are completed accurately and on time
        • Support culturebuilding efforts including welcome communications and firstweek checkins
        • Facilitate onboarding and offboarding processes for independent contractors and vendors in alignment with department manager requests
          • Employee Records & Data Management
            • Maintain accurate and uptodate employee records and documents in Paycom and Google Drive, ensuring compliance and data integrity
            • Support the documentation of employment changes (promotions, terminations, leaves of absence, I9s, etc.) while maintaining consistent file retention standards
            • Assist with HRIS data audits and process improvements to maintain system accuracy and reporting integrity
              • Employee Support & HR Operations
                • Respond to internal HRrelated inquiries regarding benefits, policies, systems, and general HR procedures, in collaboration with the HR Manager
                • Monitor and manage the shared HR inbox, ensuring timely, professional, and accurate responses to internal and external requests
                • Maintain and update internal HR resources such as process documentation, policy handbooks, and Standard Operating Procedures (SOPs)
                  • Compliance
                    • Ensure recruiting, onboarding, and employment documentation complies with California and federal regulations
                    • Coordinate internal audits, handbook updates, and documentation management to support HR compliance and readiness
                    • Stay informed of employment law updates, maintain the HR calendar, and coordinate with the HR Manager to ensure policy alignment
                      • Employee Engagement & Culture
                        • Support the execution of engagement initiatives such as employee surveys, team engagement posts in Slack, recognition programs, and maintain the team call leader schedule to ensure that important agenda items, such as birthdays, new employee arrivals, departures, and the like, are included in the agenda
                        • Support the HR Manager in planning and developing the annual team retreat
                        • Assist in creating content, communications, or logistics for employee programs (anniversaries, wellness, DEI initiatives, etc.)
                        • Help maintain a culture of feedback, transparency, and continuous improvement by assisting with feedback loops and followthrough
                          • Special Projects & CrossFunctional Support
                            • Support the HR Manager and crossfunctional partners on special initiatives, including organizational planning, benefits open enrollment, training logistics, and policy rollouts
                            • Assist in maintaining department OKRs while supporting the scaling of HR operations with a continuous improvement mindset
                                • Qualifications

                                  Qualifications & Competencies:

                                  • Bachelor’s degree in Human Resources, Communications, or related field required
                                  • Minimum of 3 years of recruiting experience in a fastpaced or highgrowth environment
                                  • Extensive fullcycle recruiting experience, with demonstrated success recruiting remotely
                                  • Industry experience in health, wellness, or consumer packaged goods (CPG) is a strong plus
                                  • Knowledge of California labor laws and HR compliance standards
                                  • Proven proficiency in Paycom or comparable HRIS, Google Workspace, and Monday.com
                                  • Demonstrated ability to build and maintain a personal and professional talent pipeline, leveraging personal networks and utilizing LinkedIn Recruiter or similar tools for proactive sourcing
                                  • Excellent organizational and multitasking skills
                                  • Professionalism, discretion, and integrity with confidential information
                                  • Strong interpersonal and written communication skills
                                  • Accurate data management and attention to detail
