Summary of Job Duties:
The Faculty Support Specialist supports faculty with coordinating complex travel, sourcing and purchasing supplies and services, scheduling meetings, coordinating audio visual support and schedules, creating job descriptions and posting job vacancies, assisting with maintenance of faculty budgets, and assisting visitors.

Qualifications:
  • Bachelor’s degree plus three (3) years of project management or administrative coordination, or

  • High school diploma/GED plus seven (7) years of project management or administrative coordination required.

Knowledge, Skills & Abilities:

  • Must have a high level of competency in Microsoft Excel, Word, and PowerPoint.

  • Experience in managing multiple priorities, projects, and deadlines.


Additional Information:

Responsibilities:

  • Coordinates complex travel arrangements. Creates and provides clear itineraries and makes cost-effective travel arrangements.

  • Enters travel data into the Workday administrative system and processes travel reimbursements following state laws and regulations.

  • Maintains assigned faculty education fund reports to track spending for services, travel, and supplies. Provides monthly reports to faculty and ensures spending is within limits.

  • Enters purchase requisitions for technical items, lab supplies, and yearly service agreements, following state procurement laws and department procedures.

  • Ensures supplies are delivered and received properly in the Workday system.

  • Create position descriptions and process new position requests through the Workday system.

  • Process job posting requests through the Workday system.

  • Schedule interviews, collect interview results, and provide information to the Hiring Manager.

  • Schedules and arranges meetings and lectures for faculty.

  • Provides management of itinerary and manages schedules, ensuring lectures and projects stay on track and on time.

  • Maintains the area conference room calendar and keeps the department administrator aware of any scheduling conflicts or equipment needs.

  • Performs other duties as assigned.
