Job Title: Executive & Marketing Assistant
Location:
Remote (ET)
Salary Range:
up to 1600 USD (for full-time)

Work Schedule:
Starting at 20 hours/week with potential to scale to full-time (40 hrs/week). Core hours expected to overlap with U.S. Eastern Time (ET).

Position Overview:

We are seeking an experienced Executive & Marketing Assistant to support a high-performing executive team. This role is ideal for someone who thrives on managing details, enjoys variety in their work, and takes pride in being one step ahead. You will coordinate events, manage podcast logistics, maintain the CRM, assist with CEO communications, and support various marketing and admin initiatives.

This position will start at part-time (~20 hours/week) with a clear growth path to full-time employment.

Key Responsibilities:

  • Event & Travel Coordination: Schedule, book, and manage logistics for trade shows, webinars, and in-person events. This includes travel itineraries, flights, meeting rooms, and related admin.
  • Podcast Management: Book and coordinate podcast guests, prep content for editors, and support post-production workflows.
  • CRM & Database Management: Input, maintain, and clean client and lead data across company systems.
  • Executive Support: Assist CEO with calendar/email management, proposal generation, appointment coordination, and client communication.
  • Marketing Operations: Coordinate marketing content calendars (email, social media), send marketing packages, and manage third-party vendors.
  • Payroll & Reporting: Submit bi-monthly payroll and prepare internal reports related to commissions and benefits.
  • Client/Lead Follow-Up: Assist with warm lead outreach and nurture activities to ensure timely engagement within 1 business day.


Qualifications:

  • 5+ years of experience in roles such as Executive Assistant, Marketing Coordinator, or B2B Project Manager
  • Proficiency with CRM systems (e.g., HubSpot, Zoho, Salesforce)
  • Strong organizational skills and high attention to detail
  • Excellent English communication skills (written and verbal)
  • Experience coordinating events and handling logistics
  • Able to prioritize, multitask, and pivot when needed in a fast-paced environment
  • Strong Microsoft Office proficiency (Word, Excel, Outlook, PowerPoint)


Nice-to-Haves:

  • Experience in franchise consulting, sales, or the coaching/consulting industry.
  • Background in supporting senior executives or CEOs.
  • Familiarity with podcast publishing workflows and marketing automation tools.
  • Prior experience working with remote U.S. teams or international companies.
