Work Schedule: Full-time, semi-flexible schedule
Core Availability: At least 6 hours of overlap with Mountain Time (Calgary), Monday–Friday, 8:00 AM – 4:00 PM

About Our Client

Our client is a dynamic and innovative company providing Operational, Financial, HR, and Compliance support to startups and growing businesses across multiple industries. They specialize in helping founders build strong foundations through smart systems, clear processes, and reliable execution.

Their mission is to help startup founders turn their business ideas into reality. They listen, learn, and work together to navigate the ever-changing business world. Clear communication and practical solutions are their superpowers.

Their core values — Empower, Ignite, and Maximize — guide everything they do and shape a collaborative, growth-focused environment for their team and partners.

The Role

Our client is seeking a highly organized, people-focused HR & Operations Administrator to support their internal operations, people processes, and team culture. This role is for someone who enjoys keeping things in order and also cares about how people experience their work.

You will be the "glue" that keeps their remote team running smoothly — making sure onboarding is seamless, records are accurate, deadlines are met, and team members feel connected, recognized, and supported.

You will work closely with leadership, follow established processes, and help improve them as the company grows.

What You'll Do

HR & People Operations
  • Coordinate onboarding and offboarding: checklists, document collection, and first-week orientation.

  • Own the full employee and contractor lifecycle.

  • Coordinate pre-hire background screening.

  • Track completion of Security, Privacy, and AI awareness training.

  • Maintain accurate and confidential team member records, organizational charts, contracts, and personnel files.

  • Support recruitment: post job openings, screen applications, schedule interviews, and communicate with candidates.

  • Prepare, send, and track agreements, NDAs, and HR documents.

  • Monitor time tracking and timesheet submission; follow up on missing or late entries.

  • Maintain and update HR policies and handbooks.

  • Keep HR practices compliant with applicable employment and privacy laws.

  • Track key dates (probation reviews, compensation reviews, contract renewals, performance evaluations) and send reminders to leadership.

Team Building & Engagement
  • Plan and run virtual team-building activities, social events, and team rituals.

  • Coordinate recognition for birthdays, work anniversaries, and team wins.

  • Help run pulse surveys and feedback check-ins; summarize results for leadership.

  • Support internal communications — announcements, updates, and newsletters.

  • Help foster a positive, inclusive remote culture aligned with the company's values.

HR Compliance & Audit Support
  • Maintain HR records and evidence in the company's GRC platform, keeping it audit-ready.

  • Support audits like ISO 27001, ISO 42001, and SOC 2 by providing HR evidence (screening, training, onboarding/offboarding, etc.).

Administrative & Operational Support
  • Coordinate, track, and update tasks in the company's project management tool (ClickUp).

  • Handle data entry, manage records, and organize shared drives and folders.

  • Maintain the company's Standard Operating Procedures (SOPs): keep them accurate and up to date, and coordinate a formal review of each SOP with process owners on an annual basis.

  • Schedule meetings and manage calendars for internal team activities.

  • Support process improvement initiatives to enhance team efficiency and productivity.

Ideal Profile

  • Associate or Bachelor's degree in Business Administration, Human Resources, Psychology, or a related field.

  • Minimum 2 years of experience in an administrative, HR support, or people coordination role.

  • Prior remote-team experience.

  • Professional English proficiency — written and verbal (mandatory, as you will work with Canadian and U.S. teams).

  • Able to work with at least 6 hours of overlap with Mountain Time (Calgary), Monday–Friday 8:00 AM – 4:00 PM.

  • Comfortable using Google Workspace, Slack, and project management tools.

  • Strong organizational and time management skills, with a love for checklists, folders, and structured workflows.

  • High level of discretion and confidentiality when handling personal information.

  • Excellent interpersonal skills — warm, approachable, and clear in communication.

  • Ability to work independently while collaborating effectively with a remote team.

  • Proactive, adaptable self-starter who thrives in a fast-paced environment.

Nice to Have

  • Experience organizing virtual events or employee engagement initiatives.

  • Familiarity with recruitment processes or applicant tracking systems.

  • Prior startup experience is a strong advantage.

Why Join

  • A supportive, positive, and collaborative remote work environment.

  • The opportunity to shape team culture in a growing company.

  • Clear processes, documentation, and training support.

  • Professional growth opportunities, with potential progression into HR or operations roles.

  • Fully remote work with a semi-flexible schedule.

  • Mandatory time tracking using company tools.
