HR Coordinator — Project-Based, Part-Time, US Hours (Recruiting, Onboarding & HR Admin)

Remote | Philippines | Part-Time, 20 hrs/week | Within 12:00 AM – 9:00 AM PHT, Tue–Sat (8 AM – 5 PM Pacific, Mon–Fri) | Project-Based Remote Role |PHP 20K - 27K max/ monthly

If you’re a high-performing HR professional who is discreet by default, closes every open item on a checklist, and knows exactly when to escalate, and you want to work with a mission-driven US-based sustainability consulting firm that values strategic impact over simple task completion — keep reading.

This isn’t a role for a “form filler” who waits to be reminded, or someone who guesses on sensitive matters instead of asking.

This is a focused, outcome-driven position where you’ll keep HR operations running across the full employee lifecycle, accurately and on time, so senior HR staff can spend their time on decisions, employee relations and recruiting quality.

Why This Is a Dream Job

You’ll be working directly with the HR team of a mission-driven, US-based sustainability consulting firm who:

  • Champions Innovation: Runs a modern HR stack (Rippling, JazzHR, Trainual) and welcomes AI-assisted drafting, as long as confidential data stays protected.
  • Values Your Growth: Gives you access to an AI-enabled operator community and a dedicated Success Manager (CSM) coaching you through your first 90 days.
  • Respects Your Expertise: Wants you to become the default owner of routine HR admin, with senior HR reviewing your work rather than redoing it, and is open to your improvements to templates, checklists and reminder flows.
  • Provides Clear Guidance: You’ll sit inside an established HR team led by a Director of HR and an HR Manager, so there’s always a clear escalation path.
  • Offers Real Breadth: A genuine HR operations seat covering recruiting, onboarding, training, benefits, leave, performance and offboarding, with hands-on exposure to US HR practice.

You’ll get career transformation, hands-on US HR experience, and the trust to own HR operations end to end, without being stuck in a “data entry only” rut.

What You’ll Be Owning

This is a core HR operations role covering employee records, onboarding and offboarding, recruiting coordination, and training and programme administration. You aren’t just processing forms; you’re the person who makes sure every request is routed, every record is right, and every checklist is closed, while treating employee data as confidential at every step.

You’ll take the lead on:

  • HR Inbox & Request Routing: Owning day-to-day triage of the HR and recruiting inboxes, routing routine items within one business day and escalating sensitive matters quickly and discreetly to the right person.
  • Employee Records Accuracy: Processing record updates in Rippling within agreed turnaround times, then running a records completeness check and resolving every gap you find.
  • Onboarding & Offboarding Coordination: Running checklists end to end: new-hire and leaver communications, background checks, orientation and exit interview scheduling, and document tracking, with nothing left open past its deadline.
  • Recruiting Coordination: Scheduling interviews, sending candidate communications and tracking assessments in JazzHR for assigned roles, with candidate updates going out within one business day.
  • Training & Programme Administration: Administering harassment prevention training, performance review and survey cycles, and mentorship programmes, and keeping Trainual content current.
  • Benefits, Leave & HR Resources: Handling benefits and leave filing and keeping HR resources up to date for employees.
  • Process Improvement: Improving at least one template, checklist or reminder flow and getting it adopted by the team.

Requirements

This Role Is a Great Fit If You:

  • Have Real HR Admin Experience: You’ve worked in HR, recruiting or people-ops administration, ideally supporting a US team.
  • Are a Confidential Recordkeeper: You keep employee records accurate and complete, follow access rules without being reminded, and spot missing or inconsistent data before it causes a problem.
  • Close the Loop: You’ve run onboarding, offboarding or recruiting steps end to end, and you track every open item to closure, not just the first step.
  • Know When to Ask: You understand the limits of your authority and escalate sensitive or unfamiliar matters instead of guessing.
  • Write Clearly: Your instructions, reminders and candidate emails are clear enough that people act on them the first time.
  • Are Comfortable in HR Systems: You’ve worked in an HRIS and an applicant tracking system, and you use AI to speed up drafting while protecting confidential data.
  • Are High-Accountability: You don’t need to be chased for updates. You’re reliable, meet deadlines, and own your mistakes as much as your wins.
  • Communicate with Professional Confidence: You’re comfortable working in writing and on calls with US-based employees, candidates and HR leaders.
  • Can Commit to the Schedule: You can reliably work 20 hours a week within US Pacific business hours.

Genuine differentiators (not requirements): Rippling, JazzHR, Trainual, Microsoft 365, Microsoft Teams or Slack, and Monday.com or ClickUp.

What Success Looks Like

After 60–90 Days:

  • Nothing Slips Through the Inbox: HR and recruiting requests are routed or actioned within one business day, and sensitive items reach the right person every time.
  • Records Are Clean: Record updates are current with no backlog, and the completeness check is done with every gap resolved.
  • Joiners and Leavers Are Seamless: You run onboarding and offboarding checklists independently, with zero items outstanding past deadline.
  • Programmes Hit Target: A training, performance review or survey cycle is completed to target, and Trainual content is up to date.
  • Trust Is Earned: You’re the default owner of routine HR admin, senior HR reviews rather than redoes your work, and at least one of your process improvements has been adopted.

Final Word

If you’ve ever thought:

“I’m organised, discreet and I finish what I start. I just want an HR team that trusts me with the whole employee lifecycle and gives me clear guidance when it matters.” This is that role.

Let’s build long-term success — together.
