Business Analyst - AI

This is a remote position.

About the Role

We are looking for a commercially minded, analytical and proactive Business Analyst who can understand how businesses operate, identify operational inefficiencies and recognise opportunities where AI, automation and technology can deliver meaningful improvements.

You will play an important role in our consulting and discovery process, engaging with stakeholders to understand their business challenges, analysing existing processes and translating findings into clear requirements and actionable recommendations.

Working alongside our AI engineering team, you will help bridge the gap between business needs and technical implementation.

This is not simply a documentation or requirements-gathering position. We need someone who can think critically, ask the right questions, challenge existing processes and understand the underlying problems that technology should solve.

Key Responsibilities

1. Business Analysis & Discovery

• Engage with business stakeholders to understand operational objectives, challenges and pain points.
  

• Lead discovery conversations, stakeholder interviews and workshops to understand how different business functions operate.
  

• Analyse current-state business processes, workflows, responsibilities and information flows.
  

• Identify inefficiencies, repetitive activities, manual processes and operational bottlenecks.
  

• Document business requirements, findings, dependencies and improvement opportunities.
  

• Develop current-state and future-state process maps.
  

2. AI & Automation Opportunity Identification

• Identify business processes and activities that could benefit from AI, intelligent automation or workflow optimisation.
  

• Investigate operational problems and determine where AI-driven solutions may provide practical business value.
  

• Develop and document potential AI and automation use cases.
  

• Assess opportunities based on business impact, complexity, feasibility and potential efficiency gains.
  

• Work with technical specialists to translate business problems into potential technical solutions.
  

• Support the prioritisation of automation opportunities and recommendations.
  

3. Requirements Analysis & Solution Definition

• Translate business needs into clear business requirements, functional requirements, user stories and acceptance criteria.
  

• Document business rules, process dependencies and solution expectations.
  

• Work collaboratively with AI engineers, developers and technical specialists.
  

• Communicate business context and requirements to technical teams.
  

• Participate in solution reviews, testing and user acceptance activities.
  

• Validate proposed solutions against the original business requirements and intended outcomes.
  

4. Automation Map Consulting Support

• Support Maintain Technology's structured Automation Map consulting methodology.
  

• Analyse information collected through sponsor intake forms, functional questionnaires and discovery sessions.
  

• Consolidate findings across 12 business functions and approximately 60 process areas.
  

• Identify recurring processes, system dependencies, manual tasks and potential automation opportunities.
  

• Translate discovery findings into structured business analysis outputs and automation recommendations.
  

• Support the preparation of client-facing documentation and Automation Map deliverables.
  

5. Process Improvement & Continuous Improvement

• Identify opportunities to improve operational efficiency and business processes.​
  

• Evaluate existing workflows and recommend practical improvements.
  

• Develop reusable business analysis frameworks, templates and documentation.
  

• Maintain accurate records of requirements, assumptions, findings and decisions.
  

• Contribute to improving Maintain's consulting methodology and delivery processes.
  

Requirements

• Approximately 4–5+ years of relevant professional experience in business analysis, business process improvement, technology consulting, digital transformation or a closely related discipline.
  

• Demonstrable experience conducting business discovery, stakeholder interviews and requirements-gathering activities.
  

• Strong understanding of business processes, operational workflows and process improvement methodologies.
  

• Experience identifying business problems and translating them into practical technology or process solutions.
  

• Ability to document business requirements, functional requirements, user stories and process maps.
  

• Strong stakeholder engagement, communication and workshop facilitation skills.
  

• Experience collaborating with developers, technology teams, consultants or implementation specialists.
  

• Strong analytical thinking, critical thinking and problem-solving capabilities.
  

• Ability to communicate complex business problems and findings in a clear and structured manner.
  

• Ability to work independently and manage deliverables in a remote working environment.
  

Preferred Skills & Experience

• Exposure to Artificial Intelligence (AI), Generative AI and AI-powered business applications.
  

• Experience identifying AI and automation opportunities within business processes.
  

• Familiarity with workflow automation platforms such as n8n, Make or Zapier.
  

• Experience supporting ERP, CRM or enterprise technology implementations.
  

• Familiarity with business process modelling tools such as BPMN, Microsoft Visio, Lucidchart or equivalent.
  

• Understanding of systems integration, APIs and technology-driven business transformation.
  

• Experience in consulting, operational improvement or digital transformation engagements.
  

• Experience working with Australian businesses or international stakeholders.
