This role partners closely with internal and external communications teams, HR, IT, and other business stakeholders to support seamless collaboration and successful project execution. The ideal candidate is a meticulous, consistent, adaptable team player who is comfortable working within established processes, coordinating cross-functional contributors, and helping drive projects forward with sound judgment and a warm, collaborative, solutions-oriented approach to communication and teamwork.

This is a support-critical coordination role best suited for someone who is highly responsive, detail-oriented, organized, and confident managing deadlines, follow-up, and project documentation while representing the team in a collaborative and partnership-oriented manner.

This role offers a 100% remote work schedule.

What You’ll Be Doing

  • Oversee a variety of creative and brand projects, including digital and print materials, ad campaigns, social content, marketing videos, copy editing & writing, and out-of-home and large-format branded assets.
  • Coordinate project activities from intake through final delivery, including intake calls, brainstorming sessions, creative briefs, production schedules, draft reviews, and final file delivery.
  • Document project details accurately and thoroughly in our project management system, including researching and gathering needed information, setting up tasks, assigning internal resources, and ensuring assignees understand project goals, timelines, and next steps.
  • Address workflow obstacles in a timely manner, including missing information, pending approvals, changing priorities, and timeline risks, to help keep projects moving forward.
  • Proactively manage stakeholder expectations by providing clear, timely, and thoughtfully worded project updates, schedule reminders, and early communication regarding risks, dependencies, or changes that may affect delivery.
  • Review daily workloads and adjust assignments as needed to support balanced team capacity, effective use of talent, and on-time delivery of work.
  • Manage a high volume of requests and projects at different stages of the workflow while maintaining accuracy, responsiveness, and strong follow-through.
  • Ensure final deliverables align with business objectives, meet brand standards, and are completed on time in compliance with company policies, procedures, and standards.

What Required Skills You’ll Bring

  • Bachelor’s degree in marketing, communications, or a related field, with 3+ years of experience in project coordination or project management, preferably in a creative, brand, or marketing environment.
  • Knowledge of creative workflows, production processes, and project coordination best practices.
  • Proficiency in project management tools such as Wrike or similar platforms, as well as Microsoft Office, SharePoint, and related business software.
  • Demonstrated ability to manage multiple active projects simultaneously while maintaining accurate project details, clear timelines, and consistent follow-through.
  • Ability to work effectively within established processes, apply direction consistently, and support cross-functional teams with professionalism, accountability, and a collaborative mindset.

What Desired Skills You’ll Bring

  • Ability to approach new challenges with a positive, can-do attitude and contribute constructively to a collaborative, team-first environment.
  • Experience working with cross-functional teams and building strong, respectful partnerships across stakeholders with different roles and areas of expertise.
  • Strong judgment in knowing when to gather input, when to escalate, and how to help move work forward while supporting established team roles, processes, and decision-making.
  • Proactive and adaptable problem solver who can navigate shifting priorities, evolving processes, and changing project needs with professionalism and composure.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills, with the ability to provide clear, concise, professional, and conversational updates and recaps that are warm in tone, supportive, and partnership-oriented.
  • Strong prioritization and time management skills, including the ability to manage urgent requests and maintain progress across multiple deadlines.
