Job description

At JC Davis Ventures, LLC dba JC Davis Power, we keep work moving with smart, reliable solutions that allow our people and our partners to stay safe, focused, and ahead. Powering a jobsite shouldn't be a hassle. But too often, crews are left waiting, equipment breaks down, vendors go dark, and deadlines slip.

We started JC Davis Power to fix all of that. We're a full-service jobsite operations partner, delivering and maintaining temporary power, climate control, and tower lighting. All with one reliable crew. No handoffs. No confusion.

We show up, solve problems, and do the work the right way. Whether you're supporting customers in the field, building systems behind the scenes, or helping drive the business forward, you'll be part of a team that values reliability, accountability, and getting the job done.

Simple - Reliable - Done Right!

The Role

Every job site we support depends on equipment, fuel, parts, and subcontractors; each tied to an invoice that must be accurate.. As our Accounts Payable Analyst, you will manage the full payables cycle from invoice intake and three-way matching to payment runs, vendor reconciliations, and month-end close.

This is more than processing. You will be the person who spots the coding error before it distorts job costs, who reconciles the vendor statement nobody else wants to touch, and who tells us what our spend is doing. As the business grows, you will help build the payables process that scales with it.

What You'll Do

  • Process the payables volume. Review, code, and enter high volumes of vendor invoices, matching to purchase orders and receiving documentation and resolving discrepancies before they hit the ledger.

  • Own job and GL coding accuracy. Code invoices to the correct general ledger accounts, jobs, and cost categories so project profitability and equipment costs stay clean.

  • Run payments. Prepare and process check, ACH, and card payment runs on schedule, applying payment terms, discounts, and approval requirements.

  • Reconcile vendor accounts. Reconcile vendor statements, research aged and unmatched items, and work directly with vendors to resolve disputes, credits, and short pays.

  • Support month-end close. Prepare AP accruals, reconcile the AP subledger to the general ledger, and clear open items so close is not held up by payables.

  • Report on payables and spend. Build and maintain aging, cash requirement, and vendor spend reporting, and flag trends and exceptions to the Manager, Accounts Payable and Accounting leadership.

  • Improve the process. Identify the bottlenecks and recurring errors in the payables cycle, propose fixes, and help implement automation and workflow improvements in our systems.

  • Keep vendor data and compliance clean. Maintain vendor master records, collect and verify W-9s, support 1099 preparation, and apply sales and use tax treatment correctly.

  • Support audits and internal controls. Pull documentation and provide support for internal reviews and external audit requests, and follow approval and segregation of duties requirements.

  • Partner with the field and operations. Work with managers, purchasing, and shop teams to chase down missing approvals, packing slips, and PO detail to ensure invoices are processed without delay

  • Reconciling credit card accounts. Support end-to-end reconciliation for high-volume corporate credit card accounts (50+ cards / $100K+ monthly volume), ensuring all transactions are matched with valid receipts, properly coded, and cleared against the general ledger. Investigate and resolve credit card transaction discrepancies, disputed charges, and unapplied credits with vendors and card-issuing banks.

What We're Looking For

  • MUST BE located here in Texas

  • 3-5 years of accounts payable experience, including full cycle, high volume processing

  • Hands on experience with purchase order based invoicing and three-way match

  • Experience reconciling vendor statements and the AP subledger to the general ledger

  • Working knowledge of an ERP or accounting system such as NetSuite, or similar, plus comfort learning new systems

  • Strong Excel skills, including lookups, pivot tables, and reconciling large data sets

  • Familiarity with W-9 collection and 1099 reporting

  • Strong attention to detail and a habit of checking your own work

  • Ownership mentality. You work a problem to a finish and bring solutions, not just questions

  • Clear, professional communication with vendors and internal teams

  • Ability to maintain confidentiality with financial and vendor information

  • Self directed and dependable in a remote setting, with consistent availability during business hours

Bonus Points

  • Sales and use tax experience across multiple jurisdictions

  • Multi entity or multi location payables experience

  • Experience with an AP automation or invoice capture tool

  • Associate's or Bachelor's degree in Accounting, Finance, or a related field
