Job description

About the Role

About the Role

We are seeking a highly articulate, efficient, and bilingual Medical Coordinator & Front Desk Specialist to support our active General / Family / Internal Medicine practice.

In this role, you will serve as the administrative backbone of our clinic—managing a high volume of inbound and outbound patient calls (500–1,000 calls per week across the practice), verifying insurance coverage, processing medication refills, managing prior authorizations, and maintaining pristine schedules within our EHR system.

Fluency in both English and Armenian is strictly required to effectively serve our patient community.

Requirements

Key Responsibilities

1. Patient Communications & High-Volume Call Management

  • Handle high-volume inbound and outbound phone calls using our cloud phone system (Nextiva VOIP).
  • Answer patient inquiries, schedule and confirm appointments, and triage urgent calls with a warm, professional, and clear telephone manner in both English and Armenian.

2. Insurance Verification & Prior Authorizations

  • Verify patient insurance eligibility, copays, deductibles, and benefits prior to scheduled appointments.
  • Initiate, submit, and track insurance prior authorizations for procedures, diagnostic imaging, and medications.

3. Prescription Refills & Clinical Administrative Support

  • Process medication refill requests following clinic protocols, verifying prescription history in the EHR, and routing notes to providers.
  • Manage provider schedules, optimize appointment calendar flow, and perform daily patient outreach to minimize missed visits.

4. EHR & Data Management

  • Manage patient charts, registration records, and scheduling workflows within Athenahealth EHR (or similar platforms).
  • Utilize Microsoft Excel and Office tools to track daily administrative tasks, referral logs, and task lists.

Qualifications & Requirements

  • Language Mastery (Non-Negotiable): Superior spoken and written communication skills in both English and Armenian.
  • Clinical Experience: 1–2 years of experience in General, Family, or Internal Medicine (preferably in a Front Desk, Medical Assistant, or Coordinator role). Highly qualified candidates with strong medical backgrounds in other specialties will also be considered.
  • Core Competencies: Proven experience managing high call volumes, insurance verifications, prior authorizations, prescription refills, and patient scheduling.
  • Technical Proficiency: Proficient in Microsoft Excel and Office Suite.

Preferred Qualifications

  • EHR: Hands-on experience with Athenahealth (Athena) EHR.
  • Phone Systems: Familiarity with Nextiva VOIP or cloud-based phone platforms.
