Job description

Wholesale Operations Specialist

About Lovevery: Lovevery is a fast-growing direct-to-consumer startup co-founded by successful serial entrepreneurs and based in Boise, Idaho. Our customers are parents, and our mission is to help them feel confident they are giving their children meaningful development experiences in the critical early years of life. Taking a science-based approach, Lovevery products have won awards from Red Dot, Parents’ Choice, and NAPPA. TIME Magazine named The Play Kits subscription offering as one of the Best Inventions of 2018.

The Role: This role owns the order-to-cash process for Lovevery’s major wholesale accounts — processing and tracking purchase orders, coordinating fulfillment, and making sure every order reconciles cleanly between the retail partner, our operations/supply chain team, and finance.

This is an analyst-level role built for someone who is precise, process-minded, and comfortable being the person who catches the discrepancy before it becomes a bigger problem. You'll be the connective tissue between what a partner ordered, what actually shipped, and what gets invoiced and paid. This role is based in our Boise, Idaho office. Remote work may be considered for exceptional candidates with the right experience.

Responsibilities:

  • Process incoming purchase orders accurately and on time, confirming quantities, pricing, and ship/delivery windows against agreed terms. Coordinate with the operations and supply chain teams to ensure orders are picked, packed, and shipped on schedule, and track fulfillment status end to end, flagging at-risk orders (short-ships, late shipments, cancellations) before they become compliance issues or chargebacks.
  • Own the reconciliation process for every order: matching purchase orders, ASNs, invoices, and payments across each retailer portal (Vendor Central, Target Partners Online, Retail Link, Babylist partner dashboard) and Lovevery's internal systems. Investigate and resolve discrepancies in quantity, pricing, or short-pays, and partner with finance to ensure deductions and chargebacks are correctly identified, disputed when appropriate, and closed out in a timely way.
  • Share official routing guides, PO manifests, and itemized shipment details with the Operations Team. Monitor routing guide, labeling, and delivery compliance requirements for each retailer, and work with operations to prevent avoidable chargebacks. Track chargeback trends by account and root cause, and recommend process fixes to reduce recurring deductions.
  • Maintain accurate, up-to-date reporting on order status, fill rates, on-time-in-full (OTIF) performance, and deduction/chargeback trends across all accounts. Build and maintain reconciliation trackers and dashboards that give the wholesale and finance teams a clear, real-time view of what's outstanding and where the risk is.
  • Serve as the day-to-day link between the wholesale team, operations/supply chain, and finance, making sure everyone is working from the same numbers. Flag systemic issues (recurring short-ships, data mismatches, portal errors) to the Wholesale Manager and help implement process improvements that reduce manual reconciliation work over time.

About You:

  • 1-3 years of experience in order management, supply chain operations, deductions/chargeback management, or a related operations/finance role, ideally involving Amazon, Target, Walmart, or similar retail/marketplace accounts
  • Hands-on experience with retailer portals such as Amazon Vendor Central, Target Partners Online, or Walmart Retail Link (EDI experience a plus)
  • Strong Excel/spreadsheet skills; comfort building and maintaining trackers that reconcile data across multiple sources
  • Heavy analytical mindset and exceptional attention to detail — comfortable digging into a discrepancy until you find the root cause
  • Highly organized, with the ability to track many open orders and outstanding items across multiple accounts at once without letting things slip
  • Clear, proactive communicator who can work cross-functionally with operations and finance teams to resolve issues quickly
  • Comfortable working in a fast-paced, detail-heavy environment with recurring deadlines (weekly/monthly close, retailer cutoffs)
  • Bachelor's degree in business, supply chain, finance, or a related field, or equivalent experience

Nice To Have:

  • Experience in the baby, kids, or toy industry
  • Familiarity with EDI transactions (850, 855, 856, 810) and how they map to order and invoice reconciliation
  • Experience with Babylist or other registry/gifting-focused retail channels
  • Exposure to ERP or order management systems (e.g., NetSuite, SPS Commerce, Orderful) and how they integrate with retailer portals

The Benefits/Perks You’ll Enjoy:

  • Competitive salary, benefits and stock option package
  • 3 weeks PTO in year 1 +14 paid holidays
  • Generous parental leave
  • Any equipment you need to get the job done
  • Free/discounted Lovevery products
  • Remote working option available anywhere in the US
