About the Role

We're looking for a marketing operations manager to run how our marketing ships and how we measure it, for two brands: Darkroom, our growth marketing agency, and Shadow, our AI commerce platform. Ad Age recently described us as "if Omnicom was rebuilt on AI." We publish across LinkedIn, Instagram, TikTok, X, YouTube and a weekly podcast, and every piece has to go out on time, look right and be tracked.

This is the role that makes a busy content team reliable. You take what the team has approved and get it live on the right channel at the right time, answer the people who respond, keep our CRM clean, and show us what all of it produced. You don't plan content or write briefs; you make sure the plan happens and that we can see the result.

This is a remote role, hiring in Brazil, Portugal or Spain only, working with a team in the EST Time Zone, and all business is conducted 100% in English.

What you'll own

  • Publishing: Every approved piece scheduled and published across our channels for both brands: LinkedIn, Instagram, TikTok, X and YouTube. Adapt posts for each platform and ship routine announcements.

  • Podcast: Publish every episode to podcast platforms and YouTube, and get its clips out across our channels.

  • Launches: A run-of-show for every launch: what goes live where and when, sequenced across accounts, embargoes respected, everything checked live.

  • Community Management: Comments, DMs and mentions across our channels, answered quickly and in our voice. Sensitive questions escalated; recurring themes passed back to the team.

  • Awards & Competitions: The awards calendar: deadlines, materials and entries, so our best work gets entered and recognized.

  • Production Tracking & QA: One intake for requests, a delivery schedule everyone can see, and a final check of copy, assets, links and tracking before anything goes live.

  • HubSpot Hygiene: Clean data, accurate lead sources and UTMs, deduplication and working workflows.

  • Inbound Dashboard: One trusted view of inbound leads by source, channel and content, so we know what is working.

  • Reporting: Weekly and monthly marketing reports that explain what moved and why.

  • Systems: Our scheduling, project and asset tools kept organized, and repeatable steps automated with AI.

You should apply if this sounds like you

  • 3+ years as a hands-on marketing operations generalist: publishing, production tracking and reporting.

  • You have administered HubSpot: properties, workflows, deduplication, lead source and UTM tracking, dashboards.

  • You know each social platform well and can answer a comment or DM in a brand's voice.

  • You have a sharp QA eye. The wrong link, tag or claim never ships on your watch.

  • You build dashboards people trust and can explain what moved and why.

  • You are calm under volume and keep many dates moving at once without dropping one.

  • You already work with Claude, ChatGPT, or similar daily and use them to automate real work.

Hard disqualifiers

  • No hands-on HubSpot or CRM admin experience.

  • Never owned a publishing calendar across several channels.
