Job description

Summary/Objective: Harper General Contractors seeks a Student Program Coordinator to join our growing HR team. The HR department serves as the face of the company in its interactions with employees, candidates, and external stakeholders and is responsible for upholding and promoting the company’s values, culture, and ethical standards in every engagement. We are committed to maintaining respect, integrity, and professionalism always. Additionally, we support the company's mission while managing key HR processes, including scheduling, recruitment, onboarding, orientation, HRIS maintenance, paid time off and leave management, enforcement of company policies, performance review administration, employee recordkeeping, meeting and event coordination, and other administrative duties.

Essential Functions:

Coordinate College Recruiting and Candidate Management

  • Partner with business unit leaders to confirm internship and co-op hiring needs.
  • Post student opportunities and review and screen applications.
  • Register for, coordinate, and attend college career fairs and other recruiting events.
  • Plan and coordinate recruiting events hosted by Harper.
  • Serve as a point of contact for college and university partners.
  • Coordinate recruiting materials and merchandise; partner with Marketing on social media and other external materials.
  • Prepare Harper employees who represent the company at campus events and coordinate their follow-up with prospective candidates.
  • Schedule interviews and candidate visits; collect interview feedback and coordinate next steps with hiring teams.
  • Communicate with candidates throughout the recruiting process and maintain timely follow-up.
  • Prepare and issue internship and co-op offer letters and track candidate responses.

Manage the Student Lifecycle and Supervisor Support

  • Coordinate approved student placements, start dates, pre-employment requirements, and communication before arrival.
  • Complete student hiring steps in the HR system and coordinate setup with Payroll, IT, Safety, Fleet and Equipment, and other departments.
  • Plan and conduct orientation, including schedules, presentations, materials, and accommodations when needed.
  • Provide students with follow-up information and resources after orientation.
  • Prepare supervisors to receive students through advance communication, training sessions, and program resources.
  • Serve as a primary contact for students and supervisors; answer routine questions, monitor the student experience, and escalate concerns as appropriate.
  • Coordinate mid- and end-of-rotation assessments and follow up with students and supervisors on feedback or support needs.
  • Coordinate student offboarding, including the return of company property, HR system updates, and communication with applicable departments.
  • Support business unit and HR discussions about returning students and full-time opportunities; coordinate communication and follow-up on approved decisions.

Student Programming and Engagement

  • Plan and coordinate student events, including roundtables, information sessions, jobsite tours, volunteer activities, and end-of-rotation presentations.
  • Manage event logistics, invitations, attendance, and regular student communications, including the Student Program Newsletter.
  • Lead the employee committee that supports student learning and engagement.

Maintain Program Systems and Reporting

  • Maintain the Student Program calendar and track key recruiting, onboarding, programming, and offboarding deadlines.
  • Maintain the Student Program’s SharePoint resources, guides, FAQs, process manuals, and materials for students and supervisors.
  • Maintain accurate student records, candidate and recruiting trackers, hiring needs, and return and full-time conversion data.
  • Maintain dashboards and prepare reports to keep HR and other stakeholders informed of recruiting progress and Student Program activities.
  • Communicate and apply approved Student Program policies and procedures,
  • Administer student and supervisor surveys, analyze feedback, and recommend improvements for future rotations.

The candidate should be able to build meaningful relationships, foster a positive work environment, and navigate workplace dynamics with sensitivity and respect.


Supervisory Responsibilities: None.

 
Work Environment: Position affords the opportunity for flexible work from home and the office after training period. Typical office hours, Monday-Friday, 8 AM-5PM. Hours may vary depending on demand. 80% Sitting, 20% standing or walking.

Physical Demands: Typically, the employee may sit comfortably to perform the work. No special physical demands are required to perform the work but usually involves prolonged periods of sitting at a desk and working at a computer. However, there may be some walking, standing, bending, and carrying of light items such as papers, books, small parts, driving an automobile, etc. While this work typically is not physically demanding, it can be mentally demanding, with many deadlines needing to be met consistently.

Travel Required: Minimal but may be required from time to time for errands, regional office meetings, construction job site visits, or company events.


Education and Experience: 

  • Bachelor’s Degree preferred. Related degree (HR, Business, etc.) a plus.
  • Experience in HR management or comparable administrative role is preferred.
  • Experience with Harper GC may be a plus.
  • SHRM or comparable certifications a plus.
