Job description

About Kivo

Kivo Health is a series A healthcare AI company delivering AI-powered care to seniors with chronic disease, starting with chronic lung disease (COPD). Backed by top tier investors, including YCombinator, Kivo is growing fast towards achieving its mission to help 1 billion seniors breathe easier and live better.

About the role

We’re looking for an Operations Analyst to help build and scale the systems that keep Kivo running.

You’ll initially own clinic and patient scheduling, ensuring patients and clinicians are where they need to be and that issues are resolved quickly. From there, you’ll identify opportunities to improve and automate these workflows, partnering closely with Product and Engineering to build better systems.

As the role evolves, you’ll take on broader special projects, solving increasingly complex problems across the company. This is an opportunity to grow your skills and scope quickly in a fast-paced healthcare technology startup, working closely with leadership and cross-functional teams and having a direct impact on how Kivo operates and scales.

This is a great role for someone who likes to get into the weeds, solve problems, build processes, and make things better.

What you'll do

Improve & Automate

  • Identify inefficiencies and opportunities to improve existing workflows.

  • Design and document better processes.

  • Partner with Product and Engineering to automate manual work and build scalable solutions.

  • Monitor new systems and manage exceptions as processes become increasingly automated.

Own Scheduling

  • Manage patient rebooking, scheduling changes, cancellations, and makeup sessions.

  • Coordinate clinician coverage, PTO, and patient moves.

  • Monitor cohort fill and attendance and take action when issues arise.

  • Coordinate across front office, clinical teams, and clinicians to keep operations running smoothly.

Own Special Projects

  • Analyze operational data and identify opportunities for improvement.

  • Build and implement new processes across the business.

  • Support strategic initiatives, new programs, and other projects as Kivo grows.

  • Take ambiguous problems from “something isn’t working” to “here’s how we’re going to fix it.”

Who you are

  • Analytical and curious - you want to understand how and why things work.

  • Highly organized - you can manage details and multiple priorities without things falling through the cracks.

  • A problem solver - you’re comfortable with ambiguity and figuring things out without a playbook.

  • Process-oriented - you naturally look for ways to make work more efficient.

  • Technically curious - you enjoy learning new tools and working with Product and Engineering.

  • Proactive and accountable - you see problems, take ownership, and follow things through.

  • A strong communicator - you can work effectively across teams and with people at all levels.

Preferred qualifications

  • 1+ years of experience in operations, business operations, healthcare, consulting, analytics, project management, or a related field.

  • Strong organizational and analytical skills.

  • Comfortable working with data and spreadsheets.

  • Strong written and verbal communication skills.

  • Ability to learn new systems and tools quickly.
