AMR Management Services is excited to offer a rewarding career opportunity for a full-time remote Education and Events Manager to join our team of association professionals.
The Education and Events Manager plans, coordinates, and delivers conferences, meetings, and events for assigned clients. This role works collaboratively with association clients, volunteer leaders, internal AMR teams, vendors, contractors, and other partners to ensure events are well planned, effectively executed, and aligned with client goals.
Serving as a project manager throughout the event lifecycle—from initial planning and site selection through onsite execution and post-event evaluation, the successful candidate will be highly organized, detail-oriented, proactive, and comfortable managing multiple projects, deadlines, vendors, and priorities simultaneously. This is a role for someone who enjoys bringing people and details together, solving problems, keeping projects moving, and ensuring nothing falls through the cracks.
The pace is fast, with multiple projects and priorities happening simultaneously. Success requires someone who can stay focused and organized while shifting efficiently between priorities, independently managing their workload, and consistently meeting deadlines with minimal supervision.
Major Responsibilities:
- Deliver a high level of customer service in alignment with AMR's service delivery standards and client objectives outlined in the workplan.
- Manage the planning and operational support of educational offerings, conferences, meetings, and events for assigned clients.
- Serve as project manager for assigned client events and educational programs, providing oversight of Basecamp tasks, timelines, and deliverables in accordance with the event critical path.
- Lead project team meetings and regular internal planning meetings to monitor progress, identify issues, and ensure follow-through.
- Lead risk management evaluation and analysis for assigned client events and educational offerings.
- Assist with the development and maintenance of event budgets, including monitoring expenses, maintaining financial processes, establishing billing and credit arrangements, and requesting payments for event-related expenses.
- Lead the site selection process for assigned events in accordance with AMR's core processes, including drafting, developing, distributing, and analyzing RFPs; conducting site visits; and preparing recommendations for clients.
- Research and recommend locations for offsite meetings and events, including unique venues.
- Evaluate and select event-related service providers in accordance with client requirements and AMR's standard operating procedures.
- Participate in the evaluation of virtual and digital educational platforms to ensure alignment with client requirements and program objectives.
- Meet with account teams and organizing committees to plan event scope and format, establish and monitor budgets, review administrative procedures, and assess event progress.
- Coordinate event services and logistics in alignment with established goals and outcomes, including accommodations and transportation, facilities and room setups, catering, audio visual, signage and displays, special needs requirements, printing, entertainment, and event security.
- Prepare for and manage exhibit hall programs, as assigned, including exhibitor communications, decorator research and relations, and exhibit technology.
- Monitor event activities to ensure compliance with applicable regulations and requirements, participant satisfaction, and timely resolution of issues that arise.
- Partner with AMR staff onsite to execute event details and activities and ensure a successful experience for clients, volunteers, and participants.
- Develop and approve final event documents, including BEOs, specifying meeting requirements for each facility.
- Develop and finalize AMR Orders of Business outlining conference and event details for the AMR team and support the development of Run of Show documents, as needed.
- Provide expanded supervisory support for conference and meeting volunteers and staff, including scheduling and onsite assignments.
- Manage post-conference procedures, including internal debrief meetings, evaluation development, post-event reporting, and review and payment of event bills for accuracy.
- Support the Member Services team with effective packing, unpacking, and shipping of conference materials.
- Perform other duties as assigned.
Requirements
Are you Qualified?
We are looking for someone who is organized, proactive, self-directed, client-focused, and energized by a busy, deadline-driven environment. The ideal candidate will have:
- Bachelor's degree or commensurate experience required.
- Five years or more of experience in meeting planning and event coordination, including experience with events of 350 or more attendees.
- Prior association or association management company experience is a plus.
- Certified Meeting Professional (CMP) certification is preferred.
- Strong project management and leadership skills, including the ability to independently manage projects from planning through completion.
- Excellent organizational skills and attention to detail, with a strong commitment to follow-through.
- Demonstrated ability to manage multiple meetings, events, projects, and priorities simultaneously while maintaining accuracy and professionalism.
- Strong interpersonal and problem-solving skills, with the ability to exercise sound judgment and resolve issues effectively.
- Excellent verbal, written, and presentation communication skills.
- Strong customer service skills and a commitment to delivering a positive experience for clients, volunteers, vendors, and event participants.
- Strong knowledge of conference and event planning terminology and concepts, with the ability to apply effective design and planning practices to educational offerings and events.
- Demonstrated ability to evaluate information, identify potential issues, and develop creative and practical solutions.
- Innovative and adaptable, with the ability to bring new ideas and approaches to a rapidly changing industry.
- Proficient knowledge of Microsoft 365 and its applications.
- Ability to work collaboratively with clients, volunteer leaders, vendors, contractors, and internal team members while also working independently with minimal supervision.
- Ability to maintain a sense of humor, team spirit, and professionalism while working in a dynamic, deadline-driven environment.
- Ability to travel approximately 6-8 times per year to provide onsite conference and event support.
- Flexibility to work evenings and weekends, as needed, based on client and event schedules.
