We are searching for the best talent for our Prof Ed Operations Lead (m/f/d) Abiomed EMEA position in Germany.

Role Overview
We are looking for an Operations Lead to build, lead and develop a high-performing operations department that can efficiently support a growing portfolio of Healthcare Solutions and Professional Education events across EMEA. The role will strengthen team capabilities and ways of working needed to scale event activity while maintaining reliable, high-quality service.

The Operations Lead will streamline and standardise end-to-end processes, allocate resources effectively, and create a scalable operating model that can absorb increasing event volumes and respond to urgent or last-minute business needs. The role will balance speed and flexibility with strict compliance, governance and budget requirements.

Key Responsibilities

• Build, lead, coach and develop a high-performing operations department supporting Healthcare Solutions and Professional Education events across EMEA.
• Set priorities, allocate workload and flex team capacity to deliver planned activities while responding effectively to urgent and last-minute requests.
• Streamline and standardise end-to-end event operations through clear processes, service standards, templates, workflows, escalation pathways and decision rights.
• Establish scalable planning, intake and prioritisation processes that provide visibility of demand, capacity, timelines, risks and delivery status.
• Ensure events and related operational activities are delivered consistently, efficiently and in accordance with internal compliance, governance, documentation and audit-readiness requirements.
• Own budget oversight for the department, monitor event-related spend and supplier invoices, and make resource and delivery decisions within agreed financial limits.
• Act as the senior escalation point for operational issues, resolving time-critical challenges with practical solutions while protecting compliance, quality and budget.
• Define and monitor service levels, operational KPIs and dashboards to measure efficiency, workload, quality, compliance and scalability.
• Lead continuous improvement initiatives, identify bottlenecks and remove unnecessary complexity to increase speed, consistency and team capacity.
• Drive effective adoption of operational systems, including CVENT, and Veeva Vault, to enable standardised workflows, reliable data and efficient execution.
• Manage and develop strategic supplier relationships, ensuring service quality, responsiveness, value for money and adherence to agreed processes.
• Partner closely with Professional Education Managers, Healthcare Solutions leadership, Finance, Procurement, Legal, Compliance, Marketing, Regulatory and external providers to align plans and resolve delivery constraints.
• Provide leadership with clear operational updates, capacity forecasts, budget visibility, risk assessments and recommendations for scaling the function.

Candidate Profile

• Significant experience leading event operations, professional education operations or a comparable service-delivery function in a complex, regulated environment.
• Proven ability to lead and develop teams, allocate resources effectively and increase organisational capacity.
• Demonstrated success in streamlining and standardising processes to support growth, improve service levels and deliver measurable efficiency gains.
• Strong judgement and composure when managing competing priorities, urgent issues and last-minute requests across multiple countries and stakeholders.
• Strong understanding of compliance, governance, documentation and audit-ready execution, with the ability to embed requirements into practical operational processes.
• Experience managing budgets, supplier performance and delivery trade-offs within defined financial constraints.
• Strong cross-functional leadership and communication skills, with the ability to influence business leaders and partner effectively with Finance, Procurement, Legal, Compliance and other functions.
• Experience using event-management and workflow platforms to improve scalability, visibility and data quality; CVENT, COLADA or Veeva Vault experience would be an advantage.
• A pragmatic, hands-on and continuous-improvement mindset, with the ability to move between strategic department building and rapid operational problem-solving.
• Fluency in English is required; German skills are beneficial

The Operations Lead will manage the operational specialists responsible for contracting, grants and procurement administration; Healthcare Solutions project coordination and internal communication; Professional Education participant management, logistics, AMEX booking coordination, COLADA administration and course or roundtable support; CVENT event management implementation and adoption; and Veeva Vault copy approval process coordination and governance.

The anticipated base pay range for this position is:

€78 300,00 - €135 700,00

In addition to base pay, we offer the following benefits*: an annual bonus with set target (% of pay) depending on pay grade / location, where the actual amount is based on the employees’ and companies’ performance of the previous calendar year, or sales commissions.
