Job description

TrendyMinds is looking for a Client Partnerships Coordinator to keep the operational engine of our client accounts running smoothly. You'll be the person who keeps projects organized, deadlines on track, and communication flowing — the reliable foundation that lets the rest of the team focus on strategy and client relationships.

This is a role for someone who thrives on details and follow-through. You'll live in Asana, coordinate across internal teams, prep the team for every client conversation, and flag opportunities you notice along the way.

What You'll Do

  • Keep projects organized and on track: Own Asana for your assigned accounts — creating and updating tasks, tracking deadlines, and following up with internal teams so nothing slips through the cracks.
  • Support client communication: Handle scheduling, meeting logistics, status update emails, and day-to-day follow-ups, serving as a reliable point of contact that keeps engagements moving without pulling senior team members into operational details.
  • Prep and document meetings: Build agendas, assemble supporting materials, take notes, and track action items so the team walks into every conversation prepared and walks out with a clear record of decisions and next steps.
  • Assemble reports and documentation: Pull data from Asana and other project tools to build status reports and project summaries, keeping documentation organized so institutional knowledge lives in systems, not inboxes.
  • Flag opportunities: Notice client requests or comments that may signal unmet needs, and pass them to your supervisor with context so nothing gets lost.

What You'll Need

  • 1–3 years of experience in project coordination, account coordination, administrative support, or a similar role — agency experience is a plus but not required
  • Strong organizational skills and comfort managing multiple deadlines and priorities at once
  • Hands-on experience with a project management tool (Asana or similar)
  • Clear, professional written and verbal communication skills
  • Comfort using AI tools to draft status updates, format reports, organize notes, and surface overdue or at-risk tasks
  • Sound judgment about when something needs to be escalated versus when it can wait
  • A proactive, detail-oriented mindset — you notice what's missing before someone has to ask

Nice to Have

  • Experience supporting client-facing teams in a marketing, creative, or professional services environment
  • Experience taking meeting notes and tracking action items for cross-functional teams
  • Familiarity with reporting or dashboard tools beyond Asana
