ABOUT THE FRED HOLLOWS FOUNDATION

The Foundation is an international development organisation working to prevent blindness and restore sight.  We continue to carry on the legacy of Professor Fred Hollows, who believed every person had the right to quality eye care, no matter where they live. The Foundation has grown to work in more than 25 countries throughout Africa, South Asia, Southeast Asia, the Middle East and the Pacific, as well as Australia. The Foundation has restored sight to more than 3 million people worldwide. We have an ambitious five-year strategic plan that aims to take us even closer to realising our vision of a world in which no person is needlessly blind, or vision impaired and Indigenous Australians exercise their right to sight and good health.

THE OPPORTUNITY

The POD Coordinator enables the People & Organisational Development team to deliver responsive, consistent and well-coordinated support across The Foundation. Working closely with People Partners, the role coordinates key people processes and team priorities, providing practical support across HR operations, recruitment, learning administration, events and knowledge platforms. It is accountable for accurate and timely employee documentation, SAP administration, reporting, executive assistance and office operations.

KEY RESPONSIBILITIES

People Partner Support

Provide coordinated administrative and operational support to People Partners across agreed employee lifecycle processes and priorities.

Employment Contracts and Compliance Administration

Prepare accurate employment contracts, variation letters and related employment documentation, coordinating approvals, signatures and records. Support required pre-employment and compliance checks as part of the broader process.

HR Administration and Records

Maintain accurate employee data, records and documentation in SAP and related HR systems, including regular data checks and reporting. Process new starters, employee changes and separations in SAP, ensuring data is entered accurately, approvals are completed and records remain current. Ensure HR records and filing practices meet data privacy, confidentiality and retention requirements.

Learning, Events and Knowledge Administration

Coordinate learning administration, including registrations, invitations, participant communication, materials, attendance records, evaluations and follow-up actions. Manage logistics for in-person and virtual learning events, including venues, travel, catering, technology, facilitators, suppliers and on-the-day support. Maintain accurate learning calendars, participant records, resources and reporting across relevant systems. Maintain POD SharePoint sites, intranet pages and shared resources, ensuring information is current, well organised and easy to access.

Recruitment Support

Provide end-to-end recruitment coordination, including advertising, shortlisting support, interview scheduling, candidate communication and recruitment administration. Work with People Partners and Talent team members to keep recruitment processes efficient, timely and candidate-focused.

Executive and Melbourne Office Support

Provide executive assistance to the People & Organisational Development Director and other Executive roles as required, including diary and email management, meeting coordination, preparation of materials, travel arrangements and follow-up of actions. Provide business operations support for the Melbourne office, including day-to-day office coordination, facilities and supplier liaison, ordering and maintaining office supplies, coordinating visitors and events, and resolving routine workplace issues.

General Support

Provide responsive and professional operational support to employees, managers and People & Organisational Development team members. Undertake other duties as required to support People & Organisational Development and broader organisational priorities.

WHAT YOU’LL NEED TO SUCCEED

  • Related Bachelor’s Degree or 3-5 years’ experience in HR administration or HR operations.
  • Experience preparing employment contracts and employee lifecycle documentation.
  • Hands-on experience using SAP or a similar HR information system.
  • Experience coordinating recruitment, learning administration and in-person or virtual events.
  • Experience maintaining SharePoint, intranet pages or similar knowledge platforms.
  • This role will suit someone who is a doer, ensuring accurate HR and Recruitment administration.
  • Strong attention to detail and high level of accuracy.
  • Strong critical thinking, problem solving, and prioritisation skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Well-developed organisational and time management skills.
  • Clear written and verbal communication skills.
  • A process driven mindset with a focus on continuous improvement.
  • Ability to work collaboratively with global stakeholders and across time zones.
