As a Project Coordinator, you will be responsible for various tasks, including reviewing expense and timesheet coding, scheduling, managing work orders, providing customer follow-up support, creating and editing implementation plans, auditing asset-to-tracker matches, and handling ad hoc projects. Your Responsibilities:
Review expense coding to ensure accuracy and compliance with project budgets
Audit all travel and transportation arrangements to ensure they are made according to Tenna’s Travel & Expense Policy
Verify and analyze timesheet coding, ensuring proper allocation of labor costs and adherence to company policies
Assist in the development and maintenance of installation project schedules, ensuring tasks are correctly sequenced, and resource allocation is optimized
Coordinate with supporting departments to ensure Mechanics have the hardware and tools to complete onsite work
Coordinate with internal teams to manage work orders, track progress, and ensure the timely completion of projects
Provide excellent customer service and support by following up with customers, addressing inquiries, and coordinating site locations and ATTM (Authorization to Test and Turn On) processes
Edit installation plans, ensuring that all project requirements and milestones are properly documented and communicated
Supports management in optimizing installation schedules. Identifies and coordinates efficiencies based on customers’ locations and timelines
Conduct audits to ensure asset-to-tracker matches are correct, identify discrepancies, and take corrective actions as necessary
Partners with management to ensure trackers are installed on schedule and correctly, per Tenna Procedures and Quality Standards
Participates in customer implementation planning meetings to gather necessary details to help plan successful field installations
Collaborate with cross-functional teams to ensure smooth project execution, resolve issues, and optimize processes
Undertake ad hoc projects as assigned, demonstrating flexibility and adaptability to handle diverse responsibilities effectively
Assists the field team with change orders and facilitates the necessary workflows.
Assists with training newly hired team members
Qualifications:
4+ years’ experience working in project coordination, dispatching, planning, or logistics-related role
Experience working within construction technology or the industry is an absolute plus.
Proven experience in scheduling and managing multiple projects simultaneously
Proficiency in project management software and tools for scheduling and documentation
Strong experience with Microsoft Excel, Word, and Project is required
Ability to thrive in a fast-paced environment and effectively prioritize tasks to meet deadlines
Strong attention to detail and accuracy. Problem-solving and planning skills are vital
Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders
Ability to handle ambiguity and work independently with minimal supervision
Strong organizational and multitasking abilities to manage competing priorities
Flexibility and adaptability to respond to changing project needs and priorities
High School diploma/GED required or equivalent work experience
Ability to work within construction site environments, high/low temperatures, and outdoor elements on occasion
A self-motivated and adaptable person with a strong service orientation and “do what it takes” attitude
