Job description

As a Traffic/Scheduling Manager, you are a master of organization and multitasking, with a focus on executional excellence and efficiency. You're a logical thinker and communicator, and have a thorough understanding of project management within a design agency environment and are comfortable working on fast paced, large volume, CPG/retail business. You're a proactive thinker who's always planning ahead and anticipating project deliverables based on the required steps in a project’s lifecycle

This is a remote temporary position in the US.


The Traffic/Scheduling Manager is a team player, quickly adapts to rapidly changing priorities, keeps others informed of changes, documents and communicates clearly and concisely on all assigned project deliverables. This role is instrumental in supporting the Group Account Director, Project Managers and Creative Director, Lead Team Designers in managing day to day work flow from scheduling project deliverables, monitoring progress of work to ensure deadlines are effectively met and/or effectively load leveling across the teams to meet client expectations in a timely manner, and/or alerting PMs and Group Account Director of the need to secure additional resources, as needed.

You'll work closely with the Project Managers to set expectations, communicate the deliverables timing and raise any concerns or risks to the key stakeholders through constant working knowledge of the projects in progress and also anticipate future project initiatives per client forecast meetings. Support the Group Account Director with the development of quarterly business reviews by tracking and pulling KPI report based on all project activity from the project management system.

KEY RESPONSIBILITIES

TRAFFIC/SCHEDULING

• Build and maintain an overall scheduling process that includes proper assignment of appropriate resources to monitor and communicate deliverables and deadlines in a timely manner
• Collaborate with Project Managers to conduct or update daily status reports for all projects and work with lead designers to schedule or reschedule projects, and reset expectations based on new or changing priorities
• Daily monitor projects and planning system to ensure the correct resources are assigned for each project deliverable and/ or load level as priorities shift across projects
• Monitor progress of projects that are outsourced to other studios or outside resources, i.e. photographers/ illustrators
• Create an annual project roadmap/ forecast calendar and update monthly (as needed) to ensure best practices for planning, anticipating work load and resourcing needs
• Institute trafficking/ scheduling best practice processes to ensure a clear and consistent communication flow, and actively identify and suggest process improvement opportunities
• Learn fundamentals of project managers role/responsibilities to be in a position to support Project Managers in trafficking art work files in art work management review/ routing system and/or reviewing/routing vendor contract proofs for internal and client approvals, as time allows

PROJECT MANAGEMENT
• Support Group Account Director in developing quarterly business reviews by tracking and pulling KPI reports from project management system and creating charts
• Maintain a roll-up of status reports to ensure clarity across PMs, Design and Production teams
• Support Project Managers in securing key project details, dielines, print specs or material samples from vendors
• Ensure that all internal and external inquiries and needs are addressed and effectively communicated amongst all of the various client/ project management teams
• Proactively resolve account/ PM/Design and Product ion issues with urgency and/or escalate to the Group Account Director for guidance to address concerns
• Maintain balance/ load leveling of workflow and/or communicate capacity issues to Group Account Director to determine and/or approve the need for resourcing other SGSco/ Marks team or outside freelancer support.

Success in this role is achieved by consistently demonstrating the ability to effectively multitask, collaborate and keep all key team members informed of project deliverables and progress. You're proactive in gathering information and communicating the details clearly, concisely and in a timely manner to move projects forward and meet client expectations. You uphold the Marks Design Standard of Excellence and ensure things are running smoothly and efficiently.

MINIMUM REQUIREMENTS

• College or University diploma in a Marketing, Graphic Design or related field
• Mini mum 3-5 years of relevant Account Management or Traffic experience
• Experience working directly in a fast-paced, high volume, constantly changing CPG/Retail, creative/ design agency environment
• Superior organizational skills with proven ability to manage multiple projects at a time, while paying strict attention to the details and communicating the details clearly and concisely
• Excellent interpersonal and communication skills, both written and verbal
• Solid understanding of trafficking/ project management and CPG packaging design lifecycle
• Experience in delivering client-focused solutions based on business needs
• Open to a flexible work schedule
• Proficient using Mac OS, and Microsoft Products; and project management, artwork management routing systems

Our compensation reflects the cost of labor across several U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $70 - 80 USD hourly. Ultimately, in determining pay, we will consider the successful candidate’s location, experience, and other job-related factors.
