Schedule: Mon - Fri 8:00 am - 4:30 pm (CST) 

Salary Range: $22 - 24/ hour

Job Summary

We are seeking a detail-oriented Claim Assistant to support our claims team in a fast-paced, high-volume environment. In this role, you will provide critical administrative and organizational support to Claims Adjusters handling Oklahoma workers' compensation claims across a variety of industries and accounts. Responsibilities include file setup, document management, correspondence, and maintaining accurate claim records. This position plays a vital role in ensuring efficient claim handling, timely file processing, and exceptional service to both clients and injured workers.

In this role, your accuracy and efficiency will directly support a busy team of adjusters and our client service commitments. What You’ll Do
  • Provide administrative and clerical support to a team of claims adjusters in a high-volume workers' compensation environment.
  • Manage and prioritize multiple assignments, ensuring deadlines are met and time-sensitive tasks are completed accurately.
  • Prepare, process, distribute, and maintain claim-related correspondence, forms, reports, and legal documentation.
  • Coordinate appointments, independent medical examinations (IMEs), medical record requests, and other claim-related activities.
  • Maintain electronic claim files by scanning, indexing, attaching, and organizing documents within the claim management system.
  • Assist with diary management, document queues, and workflow tracking to support timely claim handling.
  • Communicate professionally and effectively with claimants, medical providers, attorneys, vendors, and internal team members by phone, email, and written correspondence.
  • Support regulatory and claim compliance requirements through the timely processing of documentation, records, notices, and other required materials.
  • Monitor incoming mail, emails, medical records, and other claim-related documents, ensuring they are routed and processed appropriately.
  • Research, gather, and compile information for adjusters and supervisors as requested.
  • Provide status updates and administrative support to facilitate efficient claim management and team productivity.
  • Maintain confidentiality of sensitive claim, medical, and personal information.
  • Perform special projects and additional duties as assigned by adjusters, supervisors, or management.

  • Strong organizational skills and the ability to manage tasks in a fast‑paced office environment.
  • Oklahoma Adjuster's License or the ability to obtain one within 6 months. 
  • Knowledge of medical terminology preferred.
  • Comfort handling high‑volume clerical work with accuracy and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to operate general office equipment and multitask across systems.
  • Reliability, initiative, and the ability to work with minimal direct supervision.
  • Commitment to confidentiality and professionalism.
  • Strong teamwork and customer service mindset.
  • Reliable, predictable attendance during business hours.
  • Proficiency with Microsoft Office (Word, Excel, Outlook).

Helpful (Not Required)

  • Bilingual in English and Spanish.

    — highly valued for communicating with claimants, employers, or vendors, but not required.

  • Experience supporting a high‑volume claims desk.
  • Knowledge of medical terminology.
  • Associate degree or two years of related business/office experience.

Compensation & Compliance

The posted salary reflects CCMSI’s good-faith estimate in accordance with applicable pay transparency laws. Actual compensation will be based on qualifications, experience, geographic location, and internal equity. This role may also qualify for bonuses or additional forms of pay.
