Job description

Job Title: Human Resources Assistant Location: Remote (U.S. based) FLSA Classification Non-exempt Job Description:

Orbital Engineering, Inc. is currently seeking a Human Resources Assistant (Recruiting, Learning & Development, HR) to provide administrative and operational support to the Talent Acquisition, Learning & Development, and Human Resources teams. This position is ideal for an organized, detail-oriented professional looking to grow a career in Human Resources or Recruiting.

The Human Resources Assistant will play a key role in delivering an exceptional candidate and team member experience by assisting with applicant screening, interview coordination, pre-employment activities, and a variety of HR projects and administrative functions. This position will also assist the Learning & Development function. The Human Resources Assistant must thrive in a fast-paced environment, demonstrate strong communication and organizational skills, and effectively manage multiple priorities while maintaining a high level of attention to detail.

Essential Functions

Talent Acquisition

  • Review incoming applications and conduct initial candidate screenings to determine qualifications
  • Coordinate and schedule interviews with candidates, hiring managers, and recruiters
  • Facilitate scheduling of agency interviews with internal team
  • Maintain applicant tracking system (ATS) records and ensure candidate information is accurate and up to date
  • Communicate professionally with candidates throughout the hiring process
  • Assist recruiters with job postings, sourcing efforts, and recruiting initiatives as needed
  • Support recruiting events, career fairs, and other talent acquisition activities
  • Assist with generation of monthly KPI report
  • Coordinate and process team member referral payments
  • Provide backup support for Talent Acquisition Specialist responsibilities during periods of absence (As needed)

Human Resources

  • Assist with coordination of pre-employment activities including background checks, drug screenings, employment verifications, and onboarding tasks
  • Monitor the completion of pre-employment requirements and communicate with candidates regarding outstanding items
  • Assist with onboarding and new hire documentation
  • Maintain confidential team member records and HR documentation
  • Support HR projects, reporting, and administrative initiatives
  • Coordinate of team member recognition program (Snappy)
  • Respond to company reviews on external sites (Indeed/Glassdoor/LinkedIn)
  • Assist with invoice processing (DISA, Accurate Background, etc.)
  • Coordinate administration of charitable contribution program
  • Coordinate distribution of new hire survey reports and provide summary reports
  • Coordinate creation of team member business cards
  • Assist Executive Assistant with holiday party planning
  • Assist with generation of turnover and headcount reports
  • Assist with PTO setup in HRIS system
  • Send exit surveys as needed
  • Assist with I-9 completion for new hires
  • Assist with Electronic personnel file creation in HRIS system
  • Assist with special projects as required
  • Provide backup support for Human Resources Generalist responsibilities during periods of absence (As needed)
  • Assist with monitoring HR inbox
  • Assist with new hire goal planning set up
  • Monitor VISA status/action items of applicable team members

Learning & Development

  • Assist with processing of tuition reimbursement program for team members
  • Coordinate team member logins/assignment for training (UKG, Coursera, RedVector)
  • Provide administrative support to learning and development manager
  • Assist with coordination of the Internship Program (timeline, status updates, scheduling of events, process surveys, etc.)
  • Provide backup support for Learning & Development Manager responsibilities during periods of absence (As needed)

  • 1-3 years of related HR or administrative experience
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • A strong focus on customer service as well as active listening
  • Ability to manage multiple priorities while meeting deadlines
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams
  • Ability to maintain confidentiality and handle sensitive information with professionalism
Preferred Qualifications
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
Location Note: This is a remote position. Compensation is based on market data and internal equity and may vary depending on the candidate’s location.   Salary Range: $22 to $29 per hour (approximately $45,000 to $60,000 annually).  This rate may fluctuate based on experience, qualifications, and location.    Benefits: A commitment to excellence and hard work will be rewarded with a competitive salary, career advancement opportunities, and a comprehensive benefits package designed to support your health, financial security, and work-life balance.
