Job description

The Scheduling Specialist communicates with patients and physicians to schedule medical appointments and diagnostic procedures. The Scheduling Specialist verifies physician orders and schedules patients in a timely manner while providing excellent customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Schedules patient medical appointments and diagnostic procedures
  • Operates and utilizes the client scheduling system
  • Provides patients with necessary information related to scheduled appointment
  • Updates patient accounts in multiple client systems
  • Provides other scheduling functions as needed
  • Communicates with patients and physician staff
  • Verifies patient demographics and insurance
  • Multitasks while maintaining great customer service
  • Transcribes physician orders for scheduling
  • Adhere to the production standards set for the department and client
  • Accuracy and confidentiality in handling medical records in compliance with HIPPA, Federal, State and Company requirements
  • Other duties as assigned by manager

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent (required)
  • Bachelor's Degree or equivalent (preferred)

KNOWLEDGE, SKILLS, ABILITIES

  • 1 year(s): Call Center
  • 2 year(s): Radiology Scheduling
  • 1 year(s): Medical Terminology
  • CPAR certification preferred
  • Able to prioritize, work well independently, and maintain focus under pressure
  • Working knowledge of medical terminology, insurance plans, and EMRs
  • Clearly communicates with providers, insurance companies, staff, and patients
  • Excellent verbal and written communication skills
  • Excellent organization skills, multi-tasking capabilities, and detail orientated
  • Customer Service skills with heavy phone contact and client interface
  • Basic computer/PC and internet skills.
  • Working with MS Office products/Excel and Word
  • Attention to detail and problem-solving skills
  • Must be a great team player and passionate about working
  • Medical Scheduling experience (2 years)
  • Dedicated quiet area for a distraction free work area.
  • EPIC or Meditech experience
  • Knowledge of medical terminology (1 year)
  • Call Center experience (1 year)
  • Basic understanding of computer systems and computerized scheduling systems
  • Attention to detail and problem-solving skills
  • Effective and appropriate interpersonal and communication skills with a focus on Customer Service and to provide excellent service to all.
  • Multitasking and time management skills
  • Expected to maintain a score of 95% on calls QA monthly average.

PHYSICAL SKILLS AND ABILITIES

While performing the duties of this job, the employee is occasionally required to stand or walk and lift and/or move up to 25 pounds. Also may be required to use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel or crouch or crawl; see, talk and hear.

Incumbent/employee works in a temperature-controlled office environment. Incumbent/employee must be able to work on a computer for the scheduled shift; answers and makes telephone calls using a standard or computer soft telephone; types on a standard keyboard; reads and comprehends information from a computer terminal and/or written resources and utilizes multiple screens and systems simultaneously.  All incumbents/employees are provided a Webcam and are required to on camera 100% of the time during the scheduled shift.
