Recruiting Operations Lead

We are looking for a Recruiting Operations Lead to shape and continually improve the way hiring is done across Carnegie Learning. You will lead the processes, programs, and systems that create a streamlined, consistent, and compliant experience for candidates, hiring managers, and internal partners. From approved headcount and requisitions to offers, recruiting workflows, and workforce plans, you will connect the details, remove friction, and help teams hire with confidence. You will also serve as our primary applicant tracking system administrator, guide selected searches from kickoff through close, and turn feedback and ideas into practical improvements. What Your Day Will Look Like

  • Take the lead on recruiting operations across the full hiring lifecycle, keeping processes streamlined, consistent, compliant, and ready to scale.
  • Listen closely to candidates, hiring managers, and internal partners; use their feedback and recruiting data to spot friction, test better approaches, and measure what is working.
  • Create and maintain recruiting playbooks, training materials, templates, and audit-ready documentation that make the hiring process easier to understand and navigate.
  • Keep approved and budgeted headcount organized and up to date, coordinating requisition approvals and partnering with Talent leadership, Finance, and business leaders to keep hiring aligned with workforce plans.
  • Review requisitions and offers for completeness, approvals, and budget alignment, catching discrepancies or risks early and bringing together the right partners to resolve them.
  • Be the go-to expert for our applicant tracking system, using thoughtful configuration, reliable data, reporting, and system enhancements to make hiring workflows work better for everyone.
  • Lead hiring processes for assigned openings by partnering with hiring managers on intake, recruiting strategy, candidate evaluation, communication, and offer coordination.
  • Develop and lead recruiting programs that strengthen our talent pipelines, expand our connections with prospective candidates, and support current and future hiring needs.
  • Share expertise, guidance, and resources that build team capability and support consistent, effective recruiting practices.
  • Lead or contribute to special projects across recruiting, compensation, and workforce planning as business needs evolve.

What Should Be In Your Bookbag

  • 3–5 years of experience in recruiting, talent acquisition operations, or a related field, along with a track record of taking ownership and making complex processes work better.
  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Strong working knowledge of recruiting operations, including process design, requisition and offer workflows, headcount tracking, hiring compliance, and candidate and stakeholder experience.
  • Experience administering and improving an applicant tracking system, with comfort in learning system configurations, reporting tools, and integrations.
    • Previous experience with Paycom or Rippling ATS, preferred
  • Exceptional organization and attention to detail—you can keep multiple priorities moving, maintain accurate records, and make sure important details do not fall through the cracks.
  • Sound judgment and the confidence to review requests, ask thoughtful questions, identify risks, and guide stakeholders toward consistent practices.
  • Strong project leadership and continuous-improvement skills, including the ability to gather feedback, identify root causes, and translate ambiguity into clear workflows, tools, and training.
  • Clear, collaborative communication skills and the ability to build trusted relationships across Talent, Finance, and business teams.
  • Experience partnering with hiring managers and supporting or leading searches from intake through offer.
  • Comfort working with recruiting data and reports to monitor progress, spot trends, and support workforce-planning decisions.
  • A service-oriented, adaptable approach and genuine enthusiasm for creating better experiences across recruiting, compensation, and workforce planning.
