The Opportunity

As a Senior Executive Administrator, you will provide primary administrative support to the President of Software, along with overflow assistance to other executives as needed. You will oversee complex global travel, expense processing, calendar, and meeting logistics across time zones. Working independently, you will deliver consistently reliable, high-quality support in a fast-paced, rapidly evolving environment — exercising sound judgment, discretion, and professionalism across both business needs and periodic personal coordination.

What You'll Contribute

  • Provide primary administrative support to the President of Software, with overflow assistance to other executives as needed, working independently to deliver reliable support across a broad range of responsibilities.

  • Manage and arrange real-time adjustments to complex global travel itineraries, including commercial and private air travel and related logistics.

  • Own day-to-day calendar management and meeting scheduling across internal and external participants and multiple time zones, resolving conflicts independently.

  • Process travel and expense (T&E) reports with accuracy and timeliness, ensuring full compliance with company policy.

  • Communicate on the President of Software's behalf with internal and external stakeholders, exercising sound judgment on tone, content, and timing.

  • Oversee scheduling, agenda preparation, and logistics for recurring leadership team meetings, including gathering and distributing materials.

  • Prepare and refine executive-level presentations and materials, ensuring they are polished and ready for leadership, client, and board audiences.

  • Provide support for periodic personal coordination needs, ensuring seamless management of the executive's time and commitments.

  • Provide backup office-support coverage for the Menlo Park, California office when the Office Administrator is out-of-office.

What We're Seeking

  • Demonstrated experience providing administrative support to senior executives in a global, fast-paced environment.

  • Exceptional written and verbal communication skills, with the ability to compose and manage confidential, time-sensitive correspondence.

  • Proven ability to manage complex global travel logistics and T&E processing independently and with minimal oversight.

  • Strong relationship-building and interpersonal skills, with the ability to engage professionally with C-suite executives, board members, clients, and vendors.

  • Sharp organizational skills and attention to detail, with the ability to prioritize competing, time-sensitive demands across a fast-moving executive calendar.

  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel; additional proficiency with Apple applications is a strong plus.

  • Self-motivated with strong initiative, addressing needs proactively rather than waiting for direction.

  • Ability to gather and synthesize information from multiple sources into clear, executive-ready presentation formats.

  • Bachelor's degree, preferably in business, communications, or a related field, or equivalent demonstrated experience supporting senior executives.

  • The targeted base pay range for this role is: $80,500 to $126,500 with this range reflecting differences in candidate knowledge, skills and experience.
