About the Role

As a Customer Operations Coordinator, you’ll support the day-to-day operations of a New York-based business, making sure sales orders, pricing, costs, and customer information are processed accurately and efficiently. You’ll start with a strong focus on back-end operational work, then take on more direct customer communication as you learn the business and demonstrate proficiency.

This is a role for someone who thinks rather than simply processes. When a number, price, margin, or order does not make sense, you’ll be expected to investigate it, double-check the information, and confidently raise questions before moving forward.

Responsibilities

  • Enter and review sales orders accurately, ensuring customer, product, pricing, and order information is complete before processing.
  • Validate customer pricing against price sheets, product costs, freight charges, warehouse costs, and other relevant information.
  • Identify pricing, cost, margin, and order discrepancies before they create downstream operational or customer issues.
  • Perform basic business calculations involving percentages, costs, margins, multiplication, and division to verify order accuracy.
  • Investigate information that appears incorrect or inconsistent rather than processing it without question.
  • Escalate discrepancies and proactively communicate with the appropriate team members to reach a resolution.
  • Maintain a high level of accuracy while efficiently handling significant volumes of order and operational data.
  • Support customer inquiries professionally through email as your knowledge of the business grows.
  • Gradually handle occasional inbound and outbound customer calls once you are comfortable with the company’s products and processes.
  • Learn the company’s logistics, order management, pricing, and operational workflows well enough to recognize when something does not look right.

Requirements

Must-Have:

  • Previous customer service, customer-facing, or operational support experience.
  • Advanced English proficiency across speaking, writing, and reading.
  • Strong numerical skills and confidence working with percentages, costs, margins, multiplication, division, and basic business calculations.
  • Excellent accuracy and attention to detail when comparing orders, prices, costs, spreadsheets, and other business data.
  • Ability to recognize unusual or incorrect figures and investigate them before proceeding.
  • Professional written communication skills and confidence asking questions or raising concerns when information is unclear.

Nice to Have:

  • Experience in accounting, banking, finance, order processing, or another numbers- and data-intensive environment.
  • Experience entering or reviewing high volumes of sales orders or transactional information.
  • Previous exposure to logistics, warehousing, freight, or supply chain operations.
  • Experience working with spreadsheets, order management platforms, ERP systems, or similar business software.
  • Previous experience communicating with U.S.-based customers or teams.
