Job Description

We are seeking an organised and detail-oriented Client Administrator to join either our team in Edinburgh or Aberdeen In this permanent position, you will provide comprehensive administrative support to our Investment Managers, ensuring exceptional client satisfaction through direct engagement and collaborative working with colleagues across the organisation. You will play a vital role in maintaining our high operational standards whilst adhering to all regulatory requirements.

  • Provide full administrative support to Investment Managers, ensuring seamless day-to-day operations and efficient workflow
  • Manage client communications and enquiries with professionalism and empathy, responding promptly to ensure client satisfaction
  • Maintain accurate and organised client records and documentation, ensuring compliance with regulatory standards and data protection requirements
  • Coordinate meetings, appointments, and events for Investment Managers and clients, managing schedules and logistics effectively
  • Prepare and process client-related documentation, reports, and correspondence with meticulous attention to detail
  • Liaise between Investment Managers, clients, and operational colleagues to facilitate clear communication and collaborative problem-solving
  • Monitor and track client matters, ensuring timely follow-up and resolution of any issues or concerns
  • Support the maintenance of client databases and CRM systems, ensuring data accuracy and accessibility
  • Contribute to the continuous improvement of administrative processes and procedures, identifying opportunities for greater efficiency
  • Assist with ad hoc projects and administrative tasks as required, demonstrating flexibility and a supportive approach to team needs

Qualifications

Skills, Experience & Qualifications

  • Excellent standard of education, ideally degree qualified but not essential
  • Previous experience working within financial services preferably within financial planning or wealth management supporting clients 
  • Proven administrative experience 
  • Strong organisational and time management abilities 
  • Meticulous attention to detail and accuracy in all work 
  • Proficiency with MS Office applications and experience with CRM
  • (desirable but not essential) - Relevant administrative or business qualifications (desirable)
