This role provides highly skilled administrative and operational support across Gravie’s Compliance function. This is the role that keeps the compliance infrastructure running: the enterprise regulatory calendar, the licenses and registrations that authorize us to operate, the governance cadence of the Compliance Committee and its sub-committees, the filings we owe regulators, the intake queue where issues arrive, and the document trail that external examiners ask to see.
Much of this work runs on externally set deadlines. A missed license renewal or filing date is not an internal inconvenience — it can suspend our authority to do business in a state. We are looking for someone who treats those dates as immovable, builds systems so nothing depends on memory, and raises a hand early when something is at risk.
This role reports to the Chief Compliance Officer and works daily with Legal, Finance, Information Security, the Privacy Officer, ICHRA Operations, and business process owners across the company.
Own the enterprise regulatory calendar—filing deadlines, license renewals, committee cadences, exam dates, and training requirements—running an advance-notice cycle and escalating at-risk items before they're late
Serve as primary internal contact for TPA licensing and Secretary of State vendors, assembling required documentation, tracking filings through approval, and resolving deficiency notices
Maintain an independent state-by-state system of record for license status, numbers, expirations, and fees to verify vendor work rather than rely on it solely
Manage designated responsible person/producer designations and holds vendors accountable to deadlines and service standards
Provide full lifecycle support for the Compliance Committee and sub-committees (Policy, Enterprise Risk, Regulatory Change): scheduling, agendas, materials, minutes, and decision logs
Maintain committee charters, rosters, and work plans, and prepares executive reporting packages up through the Board Audit Committee
Prepare and submit Compliance-owned regulatory filings, maintains repeatable filing playbooks, and reconciles filings submitted vs. required
Operate the centralized Compliance intake queue—logging, triaging, routing, and tracking items to closure—and supports incident management including PHI incidents with Privacy/InfoSec
Produce intake/incident reporting on volume, aging, closure rates, and emerging themes
Support regulatory change management: logging alerts/rule changes, routing for impact assessment, and tracking implementation tasks
Coordinate external regulatory audits and market conduct exams: document requests, evidence collection, response tracking, and remediation through closure
Maintain audit-ready documentation across all functions so evidence exists continuously rather than being reconstructed under deadline pressure
5+ years of experience in compliance, regulatory operations, insurance licensing, legal operations, or a comparable administrative and operational role in a regulated industry, with ownership of deadline-driven regulatory processes where missing a date carries external consequences and exercising sound judgement with confidential and sensitive information is paramount
5+ years of hands-on experience with entity licensing, state registrations, or similar regulatory processes
5+ years of experience working with outsourced service providers or similar independent internal or external parties — reviewing work products, holding them accountable to deadlines, and keeping an independent internal record of what they filed or produced
5+ years of experience supporting formal governance or committee processes, including agendas, minutes, and action item tracking
5+ years of exceptional document and records discipline, with an instinct for version control and for writing that will hold up as an audit record
2+ years of advanced experience with Microsoft 365 and/or Google Workspace, and the ability to build usable trackers and straightforward reporting without waiting for a system
Experience in health insurance, third-party administration, ICHRA, or health benefits administration
Working knowledge of HIPAA Privacy and Security, ACA, and ERISA as they apply to benefits administration
Experience with governance, risk, and compliance platforms, contract lifecycle management tools, or e-signature workflows
Experience supporting market conduct examinations, SOC audits, or similar third-party assessments
Relevant certification such as CCEP, CHC, CIPP/US, or an insurance licensing designation
