Your Role

As our Legal Operations Specialist, you will build and run the operational backbone of Focused Energy’s growing Legal function. You will own the systems, processes, records, and calendars that enable our lawyers to focus on high-value legal work across Corporate, Commercial, IP, and Compliance.

You will have broad ownership and the opportunity to build legal operations from the ground up — from corporate entity administration and contract lifecycle management to IP docketing, compliance records, workflow design, and automation. You will work independently across German and US corporate structures and become a trusted operational partner to the VP Legal and the wider Legal team.

What you’ll do

  • Build and own the legal operations backbone for a growing international company — creating reliable systems, processes, and standards that make a visible difference every day.

  • Take end-to-end responsibility for corporate administration across our German and US entities, including registers, minute books, cap tables, powers of attorney, filings, restructurings, and notarial processes.

  • Lead the contract lifecycle from signature to renewal, managing CLM and e-signature workflows, keeping agreements accessible, and ensuring no important deadline is missed.

  • Create structure across IP and Compliance, maintaining patent and trademark docketing, IP registers, compliance records, policy documentation, and key legal calendars.

  • Turn recurring legal work into scalable processes by mapping workflows, developing templates, introducing automation, and selecting tools that reduce manual effort for the whole Legal team.

  • Work directly with decision-makers and external partners, including the VP Legal, specialist counsel, Finance, notaries, registry offices, and external IP advisers.

  • Spot what needs to be done and make it happen — proactively identifying gaps, managing risks, and improving how Legal operates without waiting for instructions.

Who You Are

  • You have extensive experience in legal operations, corporate administration, paralegal work, entity management, or a comparable role.

  • You understand German corporate formalities and ideally have exposure to US corporate administration.

  • You are organised, detail-oriented, and comfortable managing records, deadlines, and recurring processes.

  • You have experience with contract management, e-signature, document management, or legal operations tools.

  • You work independently, improve processes, and know when to escalate matters requiring legal judgement.

  • You communicate clearly and proactively and are fluent in German and English.

Nice to Have

  • Background as a Rechtsfachwirt/in, Paralegal, or legal operations specialist.

  • Experience with CLM, entity management, e-signature, or workflow automation tools.

  • Experience in a fast-growing international company or across German and US legal environments.
