Job description

We're seeking a Program Coordinator to drive the planning, marketing, promotion, and successful launch of our travel programs. This mid-to-senior individual contributor role combines strategic coordination with hands-on execution, requiring someone who can manage program launches from concept through delivery while overseeing marketing campaigns, creative development, and partner relationships.


The role serves as a central point of coordination across editorial, marketing, design, production, and external partners, ensuring projects stay on track, deadlines are met, and launches are executed seamlessly. In addition to managing travel program initiatives, this position supports the company's publishing rights and licensing activities, including permissions requests, content usage reviews, bulk licensing programs, and rights management for international editions.


The ideal candidate is highly organized, thrives in a deadline-driven environment, and can comfortably manage multiple priorities simultaneously. They are equally adept at influencing stakeholders, coordinating with cross-functional teams, and personally executing the work required to move projects forward.


Key Responsibilities


Marketing & Creative Management 
●    Lead the development and execution of program marketing campaigns across print, digital, email, web, and social channels.
●    Manage creative production, including copy development, design direction, asset sourcing, proofing, approvals, and placement coordination.
●    Oversee program web content and ensure marketing materials are delivered accurately, on brand, and on schedule.

Program Development & Partner Relations 
●    Collaborate with internal stakeholders, subject matter experts, and external partners to develop, refine, and launch new programs.
●    Guide program planning and development from concept through launch, including itinerary review, asset collection, brochure production, and marketing readiness.
●    Serve as the primary liaison for partners and contributors, fostering strong relationships and ensuring alignment throughout the program lifecycle.

Project & Launch Management 
●    Lead cross-functional project management for program launches, establishing timelines, coordinating deliverables, and driving execution across internal teams and external partners.
●    Ensure deadlines, approvals, communications, and launch milestones are met in a fast-paced environment.

Strategic Planning & Content Development 
●    Contribute to long-range program strategy through market research, concept development, annual planning, and continuous program enhancement.
●    Support leadership in evaluating opportunities, building future program portfolios, and improving existing offerings.

Promotional Channel Coordination 
●    Coordinate promotional activity across owned and partner channels, including podcasts, video content, social media, email, web, and other audience engagement platforms.
●    Work with contributors and marketing teams to maximize program visibility and audience reach.

Performance Analysis & Customer Engagement 
●    Monitor program and marketing performance, evaluate results against business objectives, and provide insights, reporting, and recommendations to leadership.
●    Conduct post-program evaluations and help capture participant feedback, testimonials, and marketing content.
●    Provide customer support and issue resolution as needed to ensure a positive participant experience.

Rights, Permissions & Licensing Support 
●    Support rights management, permissions requests, licensing initiatives, and content-use approvals.
●    Manage permissions workflows, research requirements, and related stakeholder communications.

Qualifications
•    Strong copywriting and copy-editing skills, with an editorial background and experience writing collaboratively — this role writes ad copy directly, not just coordinates it
•    Marketing experience
•    Project management experience, including managing critical-path, deadline-driven timelines
•    Senior, self-managing professional — this is not an entry-level or purely coordination-level role — with the ability to make swift, clear decisions on approvals, proofing, and scheduling
•    Deadline-driven, with excellent fast-turnaround communication skills — comfortable managing multiple partners, customers, and internal teams simultaneously
•    Strong organizational skills; comfortable owning timelines with many moving parts and external dependencies
•    Bachelor's degree in Marketing, Communications, Journalism, or a related field, or equivalent professional experience
•    Travel industry marketing experience is a plus
•    Publishing licensing and permissions experience is a plus


Compensation: $55,000 to $65,000
