Senior Operations Specialist

Ascension Recovery Services is a growing behavioral health organization focused on expanding access to high-quality substance use disorder and mental health treatment across the country.

We are looking for a highly organized, solutions-oriented Senior Operations Specialist to support our Vice President of Operations and help move key operational priorities from planning to execution.

This is a hands-on role for someone who enjoys solving problems, organizing complex projects, improving processes, working across departments, and helping teams successfully implement new initiatives.

What You’ll Do

Operational Project Management

  • Support the Vice President of Operations in organizing and executing key operational priorities and special projects.
  • Turn leadership priorities into clear project plans, timelines, responsibilities, and deliverables.
  • Coordinate cross-functional projects involving corporate departments and facility teams.
  • Track milestones, deadlines, action items, and risks and help remove barriers that may impact progress.
  • Support facility openings, operational transitions, new programs, and other growth initiatives.
  • Prepare reports, presentations, executive summaries, and other materials to support operational decision-making.

Process Improvement & Implementation

  • Identify workflow gaps, operational inefficiencies, and opportunities to improve consistency across facilities.
  • Develop and maintain SOPs, workflows, checklists, playbooks, templates, job aids, and other operational resources.
  • Support implementation of new systems, processes, policies, programs, and operational initiatives.
  • Partner with subject-matter experts to develop practical solutions that improve efficiency, quality, and accountability.
  • Support communication, training, and change-management efforts associated with new initiatives.
  • Monitor implementation and adoption and recommend adjustments when additional support is needed.

Performance & Data Analysis

  • Analyze operational, productivity, staffing, financial, quality, and compliance data to identify trends and opportunities.
  • Develop dashboards, scorecards, reports, and monitoring tools that provide leadership with clear, actionable information.
  • Support staffing, resource, productivity, and operational planning.
  • Evaluate the effectiveness of operational initiatives using available performance data.
  • Prepare clear summaries of findings, risks, and recommendations.

Compliance & Regulatory Support

  • Partner with Operations and Compliance leadership to support regulatory, accreditation, licensing, and survey readiness.
  • Review facility processes and documentation for alignment with organizational and regulatory expectations.
  • Support operational audits, readiness assessments, facility inspections, and corrective action follow-up.
  • Track regulatory deadlines, licensing requirements, and compliance-related deliverables.
  • Support licensing applications and renewals, CLIA waiver applications, Certificate of Need filings where applicable, and other regulatory submissions.
  • Help translate regulatory requirements into practical processes and tools facility teams can successfully implement.

You are someone who can take a broad assignment and turn it into an organized plan. You are comfortable moving between project coordination, process improvement, data analysis, and implementation support without losing sight of the details.

You communicate well across departments and levels of leadership, follow through on commitments, and are comfortable working in an organization where priorities and processes continue to evolve.

Requirements

  • Bachelor’s degree in Healthcare Administration, Business Administration, Public Administration, Human Services, or a related field preferred; relevant professional experience may be considered in lieu of a degree.
  • Minimum of two years of relevant experience in healthcare operations, project management, compliance, quality, consulting, or a related field preferred.
  • Behavioral health or substance use disorder treatment experience strongly preferred.
  • Experience coordinating cross-functional projects or operational initiatives preferred.
  • Experience with process improvement, implementation, SOP development, or workflow design preferred.
  • Experience analyzing operational, staffing, financial, quality, or compliance data preferred.
  • Working knowledge of healthcare regulatory requirements, accreditation standards, or operational compliance preferred.
  • Strong proficiency with Microsoft 365, including Excel, PowerPoint, Word, Outlook, Teams, and SharePoint.
  • Strong Excel skills, including formulas, pivot tables, data organization, and reporting tools, strongly preferred.
  • Experience with Power BI or other data visualization tools preferred.
  • Strong analytical, organizational, project-management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail, initiative, judgment, adaptability, and follow-through.
  • Ability to work independently in a remote environment while maintaining strong cross-functional collaboration.
  • Ability to work primarily within Eastern Time Zone business hours preferred.

Work Conditions

This is a remote position with regular collaboration across corporate and facility teams. Eastern Time Zone location or availability is preferred. Travel to company facilities, regulatory meetings, facility openings, and other business-related locations may be required. Occasional work outside standard business hours may be necessary to support critical operational initiatives, facility transitions, or regulatory surveys.
