Job description

The Accounts and Administration Officer will support the day-to-day management of financial records, invoice processing, transaction coding, payroll preparation, and finance administration activities. This role is responsible for maintaining accurate and up-to-date financial data across systems such as Dext, Xero, and Float, assisting with reconciliations, cash-flow visibility, and payroll processes.

  • Process incoming invoices and receipts using Dext, ensuring accuracy and completeness.
  • Maintain accurate coding and categorisation of transactions in Xero.
  • Perform regular data entry and housekeeping to keep financial records up to date.
  • Maintain cash-flow visibility using tools such as Float, ensuring data is accurate and current.
  • Support payroll arrangements for the team (including doctors), following step-by-step manual processes where required.
  • Prepare payroll data, journals, and supporting documentation for review or processing.
  • Assist with reconciliations of bank accounts, expenses, and general ledger items.
  • Ensure all financial records are well organised and audit-ready.
  • Support the in-house accountant by maintaining clean, consistent, and reliable financial data.
  • Handle general finance administration tasks as required.
  • Identify process improvements and opportunities to streamline finance workflows.
  • Ensure all tasks are completed accurately and within required timeframes.
  • Other role specific duties as they arise.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business, or a related field is desirable.
  • Proven experience in an accounts, bookkeeping, or finance administration role.
  • Strong proficiency in Xero and Dext is required.
  • Experience with transaction categorisation and general bookkeeping processes.
  • Experience using cash-flow forecasting or tracking tools such as Float is highly regarded.
  • Familiarity with payroll preparation, including manual payroll workflows.
  • High attention to detail and a strong sense of ownership over data accuracy.
  • Technologically savvy, with the ability to quickly learn and adopt new tools and systems.
  • Strong time management skills with the ability to prioritise tasks and meet deadlines.
  • Excellent organisational and communication skills.
