Job description

Position: It Manager

Reports To: Vice President, Information Technology

Location: Remote; with some travel

Summary: The IT Manager is Soles4Souls' primary internal technology resource — a business-minded technologist who keeps our core systems running, connected, and secure, while helping the organization get more value out of the tools, data, and automation it already has. This role owns day-to-day administration of our key platforms (NetSuite, HubSpot, Microsoft 365, and related SaaS tools), the integrations that connect them, and the reporting that gives leadership visibility into our impact.

Just as important, this is the person who looks for a better way to do things: automating a manual process, connecting two systems that don't talk to each other, or helping a team use AI to work more effectively. The ideal candidate combines strong technical troubleshooting with genuine curiosity about new tools and a track record of turning that curiosity into practical improvements not by chasing every new technology but adopting the ones that help our teams serve more people well.

Primary Responsibilities:

Business Systems Administration

• Serve as primary administrator for core organizational platforms, including NetSuite (ERP), HubSpot (CRM), Microsoft 365, and other SaaS tools as needed.

• Manage user administration, permissions, and system configuration across platforms.

• Maintain data quality and platform documentation; train staff on how to use the systems they rely on.

• Serve as liaison to technology vendors and support providers.

Integration, Automation & Workflow

• Manage and maintain integrations across our fundraising, CRM, financial, and operational systems; troubleshoot data sync issues as they come up.

• Identify manual, repetitive processes and build automated workflows to replace them, using platform-native tools and low-code/no-code solutions (e.g., Power Automate, Zapier, Celigo).

• Support API-based connections and middleware where needed to keep systems interoperable.

• Document automated processes so they're maintainable beyond any one person.

AI Enablement

• Evaluate practical AI tools and use cases that genuinely increase staff productivity — reporting, knowledge management, donor and program engagement, and day-to-day workflow.

• Help teams adopt AI tools responsibly and effectively through simple guidelines, examples, and hands-on support, rather than formal training programs.

• Keep our approach to AI grounded in what helps staff do their jobs, not adoption for its own sake.

Reporting & Data Integrity

• Build and maintain dashboards and reports that give leadership clear visibility into organizational and program impact.

• Support reporting needs across the organization.

• Monitor data accuracy across systems and address integrity issues at the source.

Security & Governance

• Own baseline information security: access management, security policies, and incident response.

• Perform periodic access reviews and system audits.

• Maintain IT policies and a basic business continuity/disaster recovery plan.

• Help ensure our practices meet donor and organizational compliance expectations.

Qualifications:

• 5+ years of experience in IT systems administration, business systems management, or technology operations.

• 2+ years of experience in NetSuite

• Experience administering cloud-based business applications and a strong understanding of CRM, ERP, and SaaS ecosystems.

• Demonstrated experience building workflow automations (including AI platforms, Power Automate, Zapier, Celigo, etc.) or leading practical process improvements.

• Comfort evaluating and picking up new software and AI tools quickly and translating them into practical use for non-technical staff.

• Working knowledge of information security fundamentals (access management, policy, incident response).

• Excellent troubleshooting and customer-service orientation; strong written and verbal communication skills.

• Comfortable working independently and wearing multiple hats in a lean, remote team.
